Create Excel Template

You can use an Excel template with hotprint to output one or more values from the database. For example, you can create a quote printout which contains detail of the quote header and includes a table listing all the quote lines.

Creating the Template

To create an Excel template:

  1. Open Excel.
  2. Select New.
  3. Enter the text for the template.
  4. To insert database fields for single values — for example, Company Name (equivalent to Bookmarks in Word):
    • Select the cell.
    • Select Insert + Name + Define.
    • Enter the bookmark name or paste it from the COM Interface.
    • Select Add.
    • Repeat for each field.
  5. To insert database fields for multiple values — for example, Quote Line.
    • Select the bookmark name or paste it from the COM Interface.
    • Repeat for each Merge field.
    • Select all the merge field cells.
    • Select Insert + Name + Define.
    • Enter the Name for the Group — for example, CRMQuoteTable.

      The table names are pre-defined. When defining a table ,you must use the exact table name listed in the COM Interface, for the table you are using:

      • Quote Table: CRMQuoteTable
      • Booking Activity Table: CRMBookingActivitytable
      • Booking Booking Table: CRM BookingBookingtable
      • Job Quote Activity Table: CRMQuoteJCActivityTable
      • Job Quote Employee Table: CRMQuoteJCEmployeeTable
      • Job Quote Inventory Table: CRMQuoteJCInventoryTable
      • Job Quote Sales Table: CRMQuoteJCARSalesTable
      • Contract Table: CRMSVContractServiceLevel
      • Call /Service Request Secondary Assets Table: CRMSVRequestAssetTable
      • Call /Service Request Action Plans Table: CRMSVRequestActionPlansTable
  6. Select Add.
  7. Save the file with the extension .xltx.
  8. Enter the name of the template and save it in your Greentree templates directory.

    Note: Your system sdministrator can define this new template as your Default template.

  9. You can:
    • Select CRM > System > Setup > Templates Sheet (for all CRM users).
    • Select System > User Maintenance, followed by preferences for specific user, then click the CRM button.
    • Add this as your specific template by selecting File > Preferences then clicking the CRM button.

Testing the Template

To test the template:

  1. Open a quote with multiple lines.
  2. Click the Print button.
  3. Select the Excel template.
  4. Generate the Excel spreadsheet.
  5. Update the template.
