The Generate Chart form checks or creates a chart of accounts using the matrices defined in the validation matrix. You can generate charts multiple times to ensure the Chart of Accounts is correct before creating it.
You can also check and repair an excising chart. You can use this function as a rule in the Approval & Alerts module to ensure the Chart of Accounts remains consistent whenever a new account is created.
You can add or update branches with this form. This creates the branch and fill the branch segment using the established matrices.
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Check Existing Chart of Accounts
Select this option to check or update an existing Chart of Accounts.
Check Existing Chart of Accounts - Display Only (No Update)
If you select this option, Greentree Desktop produces a report of any inconsistencies in the chart. If you don't select this option, the check process updates the Chart of Accounts using the defined exceptions and matrix.
Check Existing Chart of Accounts - Set Exceptions Inactive
If you select this option, any exceptions to the defined matrix that the process locates are set as inactive, even if there are transactions with the account.
Check Existing Chart of Accounts - Delete Exceptions
If you select this option, any exceptions to the defined matrix that the process locates are deleted.
Check Existing Chart of Accounts - Set Inactive when transaction exist

Select this option to create a new Chart of Accounts.
Generate Chart of Accounts - Display Only (No Update)

Generate Chart of Accounts - Description Mask
Enter the segment numbers used to build the account description (must be preceded with a #).
For example, assuming three segments BR.DEPT.ACCOUNT, Dept = Melbourne, and Account = Sales, #1 - #4 generates: Melbourne - Sales. #1 #4 generates: Melbourne. Sales #4 generates: Sales.
Generate Chart of Accounts - Add
If you select this option, Greentree Desktop creates the Chart of Accounts using the defined matrix.
Generate Chart of Accounts - Update
If you select this option, Greentree Desktop updates the Chart of Accounts using the defined matrix.
Select which options to update: Description, Transaction Trees, GL Account Trees.
Generate Chart of Accounts - Update Description
If you select this option, the account description is updated according to the description mask defined above.
Generate Chart of Accounts - Update GL Account Trees
If you select this option, the accounts are updated with GL account trees defined in the matrix.
Generate Chart of Accounts - Update Transaction Trees
If you select this option, the accounts are updated with transaction trees defined in the matrix.
Generate Branches
Select this option to create new branches.
Generate Branches - Display Only (No Update)

If you select this option, Greentree Desktop creates the branches based on the defined matrix.
Generate Branches - Update
If you select this option, Greentree Desktop updates the branches based on the defined matrix.
Output to screen
Select this option to display all report results on the form.
Output to file
Select this option to send all report results to file. You must enter a file path and name.
Output to file Path
Enter or navigate to the file path and name required for the report results.
Generate Chart - All Check Box
Select this option to apply the generate process to all companies, divisions, branches, or cost centres.
If deselected, you can choose which item to include in the process.
Generate Chart - Grid
The generate grid may have a number of selections that you can make, depending on the complexity of your chart. The generated chart has a tab representing each of the segments in Greentree Desktop general ledger structure.
Select all items on each form, or you can choose individual items that apply to the selected matrix. All tabs, except the Company tab, display company overrides that have been established in the segment definition.
