Use this line type to purchase an asset, if the Fixed Asset module is in use.
If the Fixed Assets Module Control option Allow AP invoices is selected, when an AP Fixed Assets invoice line is saved, the asset purchase updates to the Fixed Assets module.
Note: When an acquisition is made on the Fixed Assets Purchase Entry form, you can define a purchase value for both taxation and accounting purposes. If you purchase an asset using the AP Invoice Entry form, you can only enter one value. Greentree Desktop assumes this is both the accounting value and the taxation value.
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Line type
Select the Fixed Asset line type.
Tax type
This defaults from the supplier, but you can change it. This option determines how to display and calculation tax on the line.

Purchase reference
Enter a reference number for the purchase, up to 20 alphanumeric characters. This reference remains with the transaction when it updates to the Fixed Assets module.
Note: If there are multiple lines using the same fixed asset code, Greentree Desktop adds a suffix to the reference to ensure it is unique for each line. You can edit the reference on the form or in the table.
Code/Subcode/Description
Select the asset that is being purchased, using either the code, subcode, or description.
Analysis group
This defaults in read-only format to the analysis group assigned to the selected asset.
Quantity
Enter the purchase quantity.
Price
Enter the purchase price.
Note: When an asset is purchased using the AP Invoice Entry form, this price is assumed to be both the accounting and taxation value for the purchase. If you make the acquisition using the Fixed Assets Purchase Entry form, you can specify a purchase price for both accounting and taxation purposes.
Discount %
This field uses the discount type. You can change it. The line discount value is calculated based on this percentage.
Note: This percentage updates if you change the discount value.

Tax %
This displays based on the tax code you select for the line. You can override it only if the option to Allow tax rate/amount change is selected for the code on the Tax Code Maintenance form. Greentree Desktop calculates the line tax value is based on this percentage.

Total
This field is calculated by Greentree Desktop. using the formula (quantity x price) -discount value.
Narration
Enter an unlimited narration for the line. This defaults to the first transaction line from the header if the Default invoice/credit note header narration to the first line item option is selected on the AP Module Control form. Otherwise it is blank.
If a narration is entered for the first line, it defaults to the second and subsequent lines. You can edit or delete the narration. The narration for subsequent lines defaults based on the edit. This narration prints on the AP invoice report.
Add line
Use this to save the current line when working on the line item table.
Note: The Fixed Assets module is only updated with the purchase if the Allow AP Invoices option is selected on the Fixed Assets Module Control form. This ensures that integrity is maintained between the modules.
