Module Control
Open this form by selecting System > eDocs > Module Control.
You can receive eDocs via email or as files. Documents come from multiple email addresses or different file directories. When you have specified a receive method and directory, double click to associate file extensions with different eDoc transaction types. On import, eDocs updates the eDoc with the type and company specified.
If you receive a document with a file extension that you haven't specified, it displays in the import script error log. You must add those details and import again. Depending on your setup, the file may have been moved to the Completed folder and you must copy it to the original import folder.
Email Setup
You shouldn't use a generic email account — one that is already used and has many different documents and queries sent to it — to receive eDocs. Any email that comes to that account and which doesn't have an attachment will write an error into the import log. You should setup email addresses specifically for each eDoc type that you expect to receive by email.
eDocs only works with a POP3 email account. If you are using Microsoft Exchange, it must be configured for POP3. You must ensure that the ports between the server and the mail server are opened.
If you are having difficulties viewing items in your mail box using Exchange, you can setup a webmail application and view your emails there.
Licencing
The Licencing tab displays information about how many documents of each type your Greentree Desktop instance is registered for and the expiry date of those documents.
Enter the Limit Warning Percentage at which to get a warning when you're about to exceed your limit. For example, if your document limit is 2,000 and you set the warning to 80, eDocs will issue a warning when you have received 1,600 and have 400 left.
A system script checks for possible duplicates in eDoc AP invoices. This tab controls what is checked in determining if the eDoc is a duplicate, you can change it when you run the script.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Check Reference
Select this option to check the invoice reference for duplicates.
Check Date
Select this option to check the invoice date for duplicates.
Check Amount
Select this option to check the amount for duplicates.
Check Supplier
Select this option to check the supplier for duplicates.
Date Range
Enter the From and To date to indicate the date range to search for duplicate invoices.
Note: Web service calls are available to third-party scraping tools. You can specify what the different fields are called in the file that comes back from scraping.
When the import script runs, it can write a log file which contains any errors encountered:
- Script Status - Displays the status of the import script.
- Keep Logs for - Enter the number of days of log files to keep.
