Emailing Preferences
Greentree uses these settings when sending a report to an email recipient. If you have not purchased the eReporting module, you can only send a report to a one email recipient at a time. If you're using the eReporting module, you can send reports to multiple email recipients.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Mail server address/port
Enter the IP address of the mail server you are using and the port number from which emails are sent.
Client name
Enter the name that identifies Greentree Desktop to the mail server. For most sites, you can enter Greentree in this field. The exception if the mail server has been configured to accept emails from limited sources. You must add Greentree Desktop as a source in the mail configuration.
Default reply address
Enter the email address to use as the default reply address on emails sent by Greentree Desktop.
Note: This does not have to be a working email address.
Reply address level
Select User, Company, or System Preferences as the reply address level. This determines the hierarchy that to apply to find a reply address to use.
The level applies to all companies and is also used when sending test emails from this form. If you select:
- User, Greentree Desktop uses the email address on the User Preferences form for the user who is logged in when the email is sent.
- Company, Greentree Desktop uses the email address on the Company Maintenance form using the company that the user is logged into when the email is sent.
- System Preferences, Greentree Desktop uses the address set as the Default reply address on this form.
Note: If Greentree Desktop finds no email address on the User Preferences form or Company Maintenance, it uses the Default reply address specified on this form, regardless of the reply address level that is selected.
Username
Enter a user name for the mail server. Some mail servers require a user name and a password to send emails.
Password
Enter the password for the user name for the email server.
Default report format
You can generate reports in these formats:
- HTML
- JPG
- PNG colour
- PNG black & white (this produces the smallest files for transmission)
Log SMTP traffic
Select this option to output information in emails sent from Greentree Desktop to the form for debugging emails when sending.
Send a test email
Click this button to send a test email to ensure that all preferences have been set correctly. Greentree Desktop prompts you for an email address. You should send a test email to both an internal and an external email address.
