Requisitions Tab
Use the Requisitions tab to:
- Set default values.
- Enable/disable features — for example, using approvals.
- Select the reports to use with hotprint.
- Modify entry display to update fields to be invisible or read only.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Consolidate Requisitions on Purchase Order
Select this option to consolidate requisitions on the purchase order. If you select this option, the requisitions are consolidated if these header fields match:
- Supplier
- Branch
- Currency Rate
- Delivery name
- Delivery addr1
- Delivery addr2
- Delivery addr3
- Delivery Post Code
Consolidate lines on Purchase Order
Select this option to consolidate the requisition line items on the purchase order. If you select this option, the line items are consolidated if these fields match:
- Line type
- Company/Purchase reference
- Tax type
- Account/code
- Subcode/location/activity
- Unit of measure
- Supplier of source line
- Currency code of the requisition
- Unit price
- Disc %
- Tax Code
- Tax %
- Job code
- JC Activity Code
- JC Work Centre
- JC Tran type
- Selling rate (Available the Job Cost Module Control setting Allowed to change sell rate on PO/AP is selected)
- Trees assigned flag
- Transaction Tree values
Manual Allocation of Purchase Order Numbers
Select this option to enter purchase order numbers when generating purchase orders for requisitions. If you select this option, you can enter the purchase order number in the Purchase Order column in the table on the Purchase Order tab on the Generate Purchase Orders form.
Update document narration with originating Transaction Ref
Select this option to update the Narration field on the Requisitions Entry form with a reference to the transaction from which the requisition is created.
If you select this option, the requisition's narration updates to reflect the originating transaction's reference — for example, Job Quote.
Create separate Requisition per Estimate
This field determines whether or not the Generate separate Requisition per Estimate field on the JC Estimates tab on the SCM User Privileges form, defaults to selected or not-selected.
Select this field if you want the default on the View JC Estimates form to be selected. Users can deselect this field on the View JC Estimates form.
Include Requisition Reference in generated document narration
Select this option to have the Narration field of the transaction generated from the requisition updated with a reference to the originating requisition. If you select this option, the transactions generated from a requisition have a reference to the originating requisition in the Narration field.
Automatically cancel balance of Requisition Line
This options enables you to generate a purchase order for part of a requisition. Here's an example of how the purchase order behaves:
- Requisition item quantity is 5
- Submit Requisition
- Generate PO for quantity is 3
- Refresh PO
- A quantity of 2 will still be available to be purchased against the same requisition. If you use Inventory Sourcing, you must source the remaining number of items before you can generate a purchase order for them.
Use Inventory Sourcing
Select this option to use the Inventory Sourcing module. You must be licensed for Catalogues and Sourcing to use this feature.
Respect Inventory EOQ's
This option is only enabled if the Use Inventory Sourcing option is selected. Select this option if you want Inventory Sourcing to take the economic ordering quantity of the inventory item into account when suggesting the number of items to be purchased.
Enable JC Estimate Locking
Select this option to enable users to lock JC Estimates. If you select this option, the JC Estimates tab on the SCM User Privileges form, the Lock JC Estimate, Unlock JC Estimate, and the Locked options display on the JC Estimate form.
Reinstate REQ Line when PO Item changed or Deleted
This option applies to purchase orders that were generated from a requisition.
Select this option to re-source or cancel a requisition line if the purchase order item is changed or deleted. If you select this option, the requisition line is reinstated when the purchase order item is modified or removed.
Requisition Hotprint
Select the report to use when printing from the Requisition Entry form.
Job Transfer Hotprint
Select the report to use when printing.
Use Approval Method
This option determines whether or not approvals are enabled for requisitions. You can select:
- None: Select this option to disable approvals for requisitions.
- Single Level: Select this option if a requisition must be approved by a single person only. Single Level approvals do not use the Approval and Alerts module. Approvers and approval limits are set through User Preferences.
- Multi Level: Select this option if you are licensed for the Approval and Alerts module. Select this option to use multi-level sequential or non-sequential approval.
Set PO Contract to
These options determine who the delivery contact details default to when a purchase order is created from requisitions:
- Generator: The contact details default to the user generating the purchase order.
- Requisitioner: The contact details default to the user that created the requisition.
Use Transit Location for Transfers
Select this option to select a transit location for transfers. If you select this option, the Location dropdown displays from which you can select the transit location.
This transit location can operate:
- If only the one location is setup then all multi-stage transfers is transferred in and out of that one location.
- Optionally underneath this location the user can setup sub-locations representing if the inventory is being transferred from. These locations have the same code as the warehouse they represent.
- Optionally underneath the location in (2), you can setup sub-locations representing if the inventory is being transferred to. These locations have the same code as the warehouse they represent.
Note: The lowest location level must be a stocking location.
Greentree generates an appropriate error, if transfers are created and a valid location cannot be found to transfer into.
Explode Kitsets
This setting determines the behaviour of a kitset when a requisition is created on the Loading JC Estimates form. If you select this option, then the individual kitset items display. If you don't select this option, then the kitset remains intact on the requisition.
Show Lines only on Requisition Enquiry
Select this option to select the Show Lines Only option on the Requisition Enquiry form. The Show Lines only option on the Requisition Enquiry form determines whether or not only requisition lines display as enquiry results. If not selected on the Requisition Enquiry form, then the requisition header displays and you can view the line items.
Default Requisition Lead Time (days)
Enter the number of days to use as the average turn around for requisitions. Use this field to calculate the expected date on the Requisitions Entry form. Expected Date is the Requisition Date + Default Requisition Lead Time.
Default Line Type
This field determines the default line item on the Line Item tab of the Requisitions Entry form. The field contains these line items:
- General Ledger
- Asset
- Inventory Item
- Non Stock Code
- Job
Default Requisition Type
Select the requisition type to default on a new requisition. The selected default requisition type pre-fills the Requisition Type field on the Main tab on the Requisition Entry form.
Default Delivery Address
Select the default delivery address to use on requisition entry. The selected default delivery address pre-fills the Delivery Details option on the Delivery Details tab on the Requisition Entry form.
Hold Quoted Price by default
This field determines whether or not the Quoted Price option on the Line Items tab on the Requisition Entry form is selected.
Show Requisition header as default
Select this option to enable the Main tab on the Requisition Entry form while entering requisition items in the table. If not selected, Greentree Desktop displays the Line Items tab on the Requisition Entry form while you enter information in the table.
Limit Stock By Supplier
Select this option to limit the list of Inventory Items displayed on the Line items tab on the Requisition Entry form to the Supplier selected on the Line items tab on the Requisition Entry form.
If you do not select a supplier on the Main tab on the Requisitions Entry form, but select the inventory item on the Line items tab, then this setting limits the list of suppliers on the Line items tab to the suppliers for the item.
Entry Display Table
These table settings determine the look and feel of requisitions. Select or deselect these options:
- Property: Select this option to display the corresponding field on the Requisitions Entry form.
- Invisible on Sheet: Select this option to not display this field above the table.
- Read Only on Sheet: Select this option if this field should display only on the form. If you select this option, users can't enter data in this field.
- Invisible on Table: Select this option to not display this field in the Line items table.
- Read Only on Table: Select this option to only display this field in the Line items table. If you select this option, users can't enter data into this field on the table.
Note: Greentree Desktop can update these settings to all SCM users if you select the Update changes to the User option.
Update Changes to the User
Select this option to update User Preferences for each SCM User. If you select this option, the Entry Display settings are update for each SCM user to reflect the Entry Display settings on the Module Control form.
Hide Requisition Totals
Select this option to hide these fields on the Requisition Entry form:
- Total Discount
- Total Net
- Total Tax
- Total Note: This setting can also be set per User on the User Preferences form.
