Importing Catalogues


On the Import Catalogues form:

  1. If you have an import template set up, select it by navigating to the location.
  2. Select the source file by navigating to the location.
  3. Indicate the type of file, whether delimited or fixed width.
  4. Enter the row number from which the import must start.

    If the file contains Headings, start to import from row 2.

  5. Select the Replace existing records option to replace existing catalogues in Greentree Desktop with the detail contained in the import file.
  6. Select the fields to import. The order of the fields must be in the same sequence of the fields in the import file.
    • Mandatory import fields display in the Columns to import field and suffixed with an asterisk (*).
    • Use the Unused Column field to skip unwanted columns in the import file.
    • Suppliers must be existing suppliers in Greentree Desktop.
  7. Click Next.
  8. Select the column delimiter that separates the different columns within your import file.
  9. Select the Quote Enclosed Column Data if the import file contains quotes (' or ") to indicate an alphanumeric field.
  10. View the displayed data formats per fields. If correct - continue, otherwise select Back and enter information on the forms .
  11. Click Next.
  12. If your import file contains items from only one supplier and the supplier is not selected as an import field, then select the supplier from the dropdown list.
  13. Select the individual Defaults options if the individual fields are not included in the import file.
  14. Select Retain existing Tax code if existing catalogue items' tax code should not be replaced during import.
  15. Click Next.
  16. If your import contains catalogue notes, then enter the column number of the notes in the import file.

    You can optionally enter a caption to use for the notes.

  17. Indicate if you want an error log file to be created for records not imported.
    • The .log file contains detail on why the record was not imported.
    • The .bad file contains all the records that were not imported. You can open this file in — for example, Excel, update it, and saved it in the format to use for the next import.
  18. To save the definition of your import
    • Indicate the location and name for the import template (with the extension .ipt) to be created.
    • Click Save.
    • Click Finish to process the import.
