GL Line


You can enter sales order line details after entering and saving the sales order header.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

General Ledger Line Items

Enter general ledger lines into a sales order to capture a cost that is related to the order, such as freight, insurance, and the like. This cost may or may not be passed on to the customer, depending on whether a price is entered into the line.

The lines flow through to the packing slip and the invoice, and print on related documents. When you generate an AR invoice, the general ledger account is credited by the line value.

Note: You cannot enter a sales order line for a general ledger account that is marked Ready for Deletion.

Generic Line Details

Line #

This field displays the line number of the line you are entering, viewing, or editing.

Go

If a sales order has a large number of lines, you can enter a line number in this field and click Go to move to the line number.

Re-number

Use this option to renumber a sales order line. Click on the line you want to renumber, and enter the number to change it to in the Line # field. Then, click Re-number. The line moves in the table when it is renumbered, and all other lines renumber using the change.

Line Type

Select the line type General Ledger to enter a general ledger line.

Tax Type

This indicates whether line totals displays inclusive or exclusive of tax. The default comes from the Accounts Receivable Module Control form.

Tax Code

The default value is the sales order line using a tax code hierarchy.

Status

This field displays the status of the selected line in read-only format.

General Ledger Account Detail

Account

Enter or select the general ledger account for the sales order line.

Description

The default value is the description of the general ledger account when the account is entered. Use this field to select the general ledger account by entering a description.

Short Code

The default value is the short code of the selected general ledger account. Use this field to search for a general ledger account. The account and description are based on the account that you select from the dropdown list.

Qty Account

This field is read-only and displays as selected if the account is a Quantity Account.

Unit Description

This field is enabled if the selected account is a Quantity Account. It displays the unit description for a quantity account.

Subcode

This is a free format code, up to six characters that enables you to add another level of analysis when you enter a transaction. You can sort transactions in this column when you view them in general ledger enquiry mode.

Line Details

Qty

If the selected general ledger account is a quantity account, enter a quantity here.

Price

Enter the price of the general ledger account line.

Hold Price

This option does not apply to general ledger lines.

Disc%

The default value is the Invoice discount percentage of the customer selected in the sales order header. If the field is visible and you can edit it, you can change the value.

Hold Disc %

This option does not apply to general ledger lines.

Disc Amt

This field calculates to a dollar value using the discount percentage entered in the line. If you change the value, the Disc% field recalculates to the percentage for the dollar value entered here.

Tax %

This field displays using the tax code selected for the line, although you can change it only if the option to Allow tax rate/amount change is selected for the code on the Tax Code Maintenance form. The line tax value is calculated based on this percentage.

Note: If the tax value is overridden, this percentage updates.

Tax

Greentree Desktop calculates tax using the tax percentage, although you can enter an amount as a change only if the option to Allow tax rate/amount change is selected for the code on the Tax Code Maintenance form.

The tax percentage recalculates using the tax value entered here.

Line Total

This field displays the line total in read only format.

Narration

Enter a narration, up to 14000 alphanumeric characters. If a narration is entered, it prints on the packing slip beneath the line detail.

Note: If SO-PO linking is in use and a purchase order is linked to the sales order line, you can default the sales order line narration to the corresponding PO line narration. This only occurs if the SO narration column (in the line entry table) is relocated to a position prior to the quantity column.

Entering a quantity triggers the linking process. The narration must have been entered before the quantity for it to be transferred to the appended or new purchase order.

Save Line

If you use the Line Item form to enter sales order lines, rather than entering them into the table, click this button to save the line before entering the next line.

Cancel Line

Click this button to cancel all or part of a sales order line. You can also press Shift-F2 to delete the line. The Cancel Order Line form displays and you must select a reason code for the cancellation, and the quantity to cancel (relevant only if the account is a Quantity Account.).

Note: You can't cancel orders or lines if the SO Preference option Allow cancelling of order/lines is not selected.

Right Mouse Line Options

When you are positioned on a sales order line in the table, you can right click to access options specific to the line:

Order Line Status

Select this option to view information about line quantities and values.

Cancel Line

Click this button to cancel all or part of a sales order line. You can also press Shift-F2 to delete the entire line.

The Cancel Order Line form displays and enter a reason code for the cancellation, and the quantity to cancel (relevant only if the account is a Quantity Account.). You can select this option to view or edit (if applicable) cancellations of the line.

Note: You cannot cancel orders or lines if the SO Preference option Allow cancelling of order/lines is not selected.

Re-number

To renumber the line in the table, change the existing number in the left hand column of the table, and then apply the renumber function.

Note: You can delete a sales order line by pressing Shift-F2 or clicking the Delete delete icon while on the line. You can only do this if the line has not progressed beyond sales order entry.
