Sales Order Entry


If the option to Allow link to Factory Orders is selected on the Sales Order User Preferences form, the SO-FO Link form displays when you enter an inventory sales order line if all or part of the line quantity is put on backorder.

You can access the SO-FO Link form by clicking the FO Link button on the Line Item tab of the Sales Order form. This button is enabled when you are positioned on a sales order line that is on backorder, and the linking function is in use.

The item details default in read-only format from the sales order line.

Allocate to Factory Order

The table on this tab shows details of all open factory orders (partly or all unreceived) of the item. The Qty Required is the total FO line quantity, and the Unallocated Quantity is the quantity available to link to the sales order line. The Est Total Cost is the cost of the FO line.

To link the sales order line to a factory order, update the Linking Qty to be equal to or less than the backorder quantity. You can link quantities to multiple factory orders. Greentree Desktop doesn't save link details if the total Linking Qty exceeds the backorder quantity of the sales order line. When link quantities have been updated, click the Save icon.

Note: Factory orders only display in this table if the factory order line location is in the same warehouse as the sales order line location, and the factory order status is not Complete.

Increase Factory Order

Select this tab to view factory orders (for the SO line item) that have a status of Entered & Not Committed, and have the same location as the SO line. You can increase the quantity of the order.

To increase the quantity required for a factory order, double click on the order in the table. Greentree Desktop displays the original factory order details, displayed in the Increase Factory Order form. Greentree Desktop checks if the original factory order Qty Required is a batch size, or multiple of a batch size.

If it is, the order quantity is increased by the batch size. If the backorder quantity is greater than the batch size, by multiples of the batch size. If the original factory order Qty Required is not equal to a batch size, or multiple of one, then Greentree Desktop increases the order quantity by the backorder quantity.

You can edit the quantity but you cannot make it less than the original factory order required quantity.

When the quantity required updates, any previously-selected component materials are deselected, and their Qty Required recalculated using the increased factory order required quantity. If additional components were added to the factory order when it was created, these remain unchanged.

Click the Save icon.

New Factory Order

If the unallocated quantity of an existing factory order is insufficient to fulfil the backorder line quantity, you can create a new factory order by clicking the New Factory Order button from the SO-FO Link form. This field displays the Create New Factory Order Linking to a Sales Order form.

These details come from the sales order line:

  • Order date and required date
  • Parent code (read-only)
  • Location (read-only)
  • Quantity required - this defaults to the quantity Difference from the SO-FO Link form, or is rounded up to the nearest batch size, which is defined for the manufactured item on the Bill of Materials Maintenance form.

You can increase the Qty required, but you cannot decrease it.

Note: If the factory order cannot be saved — for example, there is a component shortage, the link to the sales order is not created.

Cancelling Sales Order/Lines

A warning message displays if you try to cancel a sales order, or order line, with a linked quantity.
