Enquiry
Use this form to make both high-level and detailed sales order enquiries.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Entering Search Options & Criteria
Reference
Enter a reference and then click Save Criteria to save the enquiry filters with the reference. In the future, you recall the reference, and the search filters defaults to the enquiry form.
Search By
You can select Sales Order, Packing Slip, or Invoice as your preference for searching for orders. For example, if you know an invoice number but do not know the order number, you can select Invoice as the search option and then enter the invoice number before applying the search.
Note: The search filters on the form change depending on which Search By option you select.
Line Types
You can be specific about the type of line to search for within orders, or you can include all line types. Options that you can select include: All, Inventory, Non-Stock, and General Ledger.
Note: The search filters on the form change depending on which Line Type option you select. For example, if you select Inventory, you can apply a more detailed search in the selection — for example, search by inventory code, analysis code, or location range.
Search Customer Order No. Range
Select this option to enter a From/To range for the customer's order number.
Select All Statuses
Select this option to include all sales order statuses in your search. Alternatively, deselect the option to include specific status codes in your search. When you deselect this option, you must select the statuses to include by placing a tick next to them in the Selected column in the status table.
Customer
You can search for orders using the customer code or alpha as a filter. You can enter a specific customer (From and To is the same), or a range of customers before applying the search.
Making the Enquiry
When you have selected your search options and criteria, click Search Now. All orders that meet the search conditions returns to the enquiry table, positioned within the tab that is for the enquiry Sales Orders tab if Sales Orders is selected as the Search By option, or the Packing Slips tab if Packing Slip is selected as the Search By option.
The line that display contains header details only. To view line details, click the + the left side of the line - this will extend the enquiry so that all lines for the order display.
Note: If you selected the SO User Preferences Expand line item in SO Enquiry table option, these expand when the table is populated with results. When you are positioned on a detailed line, other tabs within the enquiry will activate if relevant, enabling you to view additional details relating to the selected line.
For example, you can view packing slips using the Packing Slips tab when positioned on an order line which has had a packing slip(s) generated for it. Invoices and Cancellations can be viewed also using the tabs, when positioned on a line that is invoiced, or has a cancelled quantity.
Note: Where applicable, you can also view kitset details for inventory lines, and linked factory/purchase orders.
You can double click an enquiry line to view the source form associated with the line — for example, Sales Order Entry, Packing Slip Maintenance, and the like. The form is populated with the line detail in read-only format.
Buttons and Options
These buttons and options are available on the right side of the enquiry form:
Customer Status
Click this button while on a sales order line to view details associated with the sales order customer. If the SO User Preference option Customer status displays enquiry form is selected, the AR Customer Enquiry form displays. If you don't select this option, a limited version of the customer details is shown.
Delivery Info
Click this button while on an order line to view the order's delivery address detail.
Inventory Status
Click this button while on an inventory line to view the status of the item.
New Criteria
Click this button to clear the current selection criteria section and return to default selections. You can enter new criteria.
Save Criteria
Use this with the Reference field to save criteria to recall to the form when making enquiries in the future.
Delete Criteria
Click this button to clear the current selection criteria section and return to default selections. You can enter new criteria.
Search Now
Click this button to run the enquiry and return order details to the table.
Report
Click this button to print a report to output your enquiry selection.
Heading
The default value is Sales Order Report but you can change the heading.
Profile
Select a profile which determines how to sort the report output.
Line quantity
There are several quantities for a sales order line (for example, order quantity, backorder quantity, packed quantity, cancelled quantity, and the like). Use this option to select the quantity to generate extended line values in the report output.
Options
These additional options are available for selection before running the report:
Print in detail
This option determines whether or not sales order line items is printed on the report. Select this option to print individual line items beneath each sales order. If you don't select this option, only the sales order summary line is printed.
Print in local currency
All unit prices are stored in the currency of the customer, depending on whether this option is selected, the unit price of each sales order line is converted to local currency. Select this option to print unit prices in local currency. All extended line values and sub-totals also be in local currency if this option is selected.
Print tax exclusive
Select this option if you require the unit price of each sales order line to print exclusive of tax. All extended line values and sub-totals also be tax exclusive if this option is selected.
Print zero value lines
This option may be useful if the line quantity selected (for example, quantity outstanding) will be zero for some of the selected sales order lines. This results in the extended line value being zero. Depending upon the intended usage of the report, you can or may not want to report zero value lines. Select this option to print zero value lines.
Print subtotal by profile
This option is enabled if the Print in local currency option is selected or you have chosen a report profile of By currency. Select this option subtotal the report according to the sort order of the selected report profile. A page break is added after each profile sub-total is printed.
Print packing slips
Select this option to print related packing slip information beneath each sales order summary (or detail) line.
Print invoices
Select his option to print related invoice information beneath each sales order summary (or detail) line.
Print POs linked
This option is enabled if the Print in detail option is selected. Select this option to print linked purchase order information beneath each sales order line.
Print kitset components
This option is enabled if the Print in detail option is selected. Select this option to print kitset detail beneath each sales order line.
Print serial/lot details
This option is enabled if the Print in detail option is selected. Select this option to print serial/lot detail beneath each sales order line.
Parameters
This section enables you to filter the report output by entering specific filters, or a range of filters. Filter options include: Order date, Salesperson, Currency, and Order Type.
Click the Save icon to save the report options and parameters and print the report.
