Auto Generate Code


Use this form to set the parameters for automatically numbering transaction references.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

The settings are the same for Quotes, Invoices, and Returns.

Note: Numbers are always generated for point-of-sale transactions. The option to Automatically generate numbers is always selected and read-only.

Branch

You can assign parameters at a branch level by selecting a specific branch. Leave this field empty to define the parameters that apply to all branches.

Station

You can define auto-numbering parameters at a station level by selecting a specific station, or for all stations by leaving the field empty. Each branch and station combination must be unique.

Note: You must the station empty in the line if one or more stations is not selected specifically.

Length

This field displays the maximum length for the automatically-generated code in read-only format.

Enable

Select this option if the branch and station combination is used to create automatically-generated codes.

Prefix

Enter a prefix value for the auto-number. If the length of No. of Digits + Prefix + Suffix exceeds the Length value, you are prompted to change the parameters.

No. of Digits

Enter the length that applies to the numerical part of the automatically-generated code. The prefix and suffix are additional in determining the final code.

If the length of No. of Digits + Prefix + Suffix exceeds the Length, Greentree Desktop prompts you to change the parameters.

Pad Leading Zero

Select this option to calculate the number of digits to pad. This is determined by the No. of Digits and the Next number. For example, if the No. of Digits is 5, and the next number is 2, Greentree Desktop pads the number to 00002.

From

Enter the start value for the range of the numerical part of the code.

To

Enter the end value for the range of the numerical part of the code.

Next

Enter the value of the next number to use when the code is generated. The default value is the To value when you are first defining the parameters.

The value increments each time a new code is generated.

Suffix

Enter a suffix value.

If the length of No. of Digits + Prefix + Suffix exceeds the value of Length, Greentree Desktop prompts you to change the parameters.

Validate

This box is selected if the Validate entered values option is selected in the header. You can deselect it or select it at a line level regardless of the header selection.

If you select this option, Greentree Desktop checks that any reference entered when you enter a transaction falls in the parameters specified for the transaction type.
