Review Revenue
Use this form to review the revenue for jobs that have been calculated. If you open this form from the Calculate Revenue form, the table displays the jobs that were selected in that process. You can change the percentage complete and revenue values, or copy the estimated revenue to the revenue, before updating values to the general ledger.
You can use any of the filters displayed in the header of the form to search for jobs to be calculated. When entering search criteria:
- To select more than one specific job (or other type), select the first one. It is copied to the field to the right of the Search field. As you select each subsequent job, it appends to the string on the right side, delimited by a comma.
- To enter a range of search criteria, enter it into the field on the right side of the Search field, and use a colon to separate the lowest and highest value. For example, enter 400001:400005 to include all jobs from 400001 to 400005.
- You can use wildcards to include a specific group of criteria.
For example:
- 00* includes all codes with a string starting with 00
- 1* includes all codes with a string starting with 1
- *0 includes all codes ending in 0.
Only jobs that are open are selected.
You can also filter for jobs using the Start Date and Job Trees.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Only show Jobs with revenue calculated for the current period
If you select this option, only jobs that have already had revenue calculated for the current job cost period display.
Do not show Jobs with posted revenue
If you select this option, jobs with posted revenue do not display.
Do not show Jobs with confirmed actuals
If you select this option, jobs with confirmed actuals do not display.
Search Now
Click this button to display the jobs based on your selection. Jobs that have already had their revenue calculated for the period, or whose settings preclude them from calculation, are shown in blue.
Selected
Click this option to select the job for action. Each selected job is highlighted in yellow.
Copy Estimates to Actual
Click this button to update the Estimated % Complete to Actual % Complete, and the Estimated Revenue to the Actual Revenue for the selected jobs. Click the Save icon to update the jobs.
Clear Actuals
Click this button to clear the Actual % Complete and the Actual Revenue values of the selected jobs. If you changed any of these values, you must save them before they clear.
Confirm Actuals
Click this button to confirm the Actual % Complete and the Actual Revenue values. This sets the Revenue Status for the period to Confirmed. You can then post the revenue to the general ledger using the Post Revenue form.
Note: You can change the values between confirmation and posting to the general ledger. When the process completes, you're prompted to post the revenue. Click Yes to open the Post Revenue form, otherwise click No to stay on this form.
Job table
You can edit these columns in the table:
- Actual % Complete - This defaults to the estimated percentage complete. You can change the percentage complete, and Greentree Desktop calculates the actual revenue value using the job's Revenue Calculation setting. Valid entries are between 0.00 and 100.00. Select the default actual values from estimate in the calculation process to update by the calculated percentage complete.
- Actual Revenue - This defaults
to the estimated revenue. You can change this value, and this calculates
the actual percentage complete value using the job's Revenue
Calculation setting. Valid entries are between 0.00
and 999,999,999,999.99.
If the value is greater than the Revenue Calculation setting (the Estimated Sell, Job Value, or Total invoiced to date), the actual percentage complete value is set to 100. If you selected the default actual values from estimate in the calculation process, this updates by the calculated revenue.
Click the Save icon to update any changes to each job. If the values are saved, but not confirmed, the revenue status for the period is set to Reviewed.
