Create Mobile Timesheet Employees from JC Employees


Use this form to convert JC employees to Browser Timesheet employees, who can enter their timesheets using Greentree Browser.

A list of JC employees displays on the left side of the form. If the JC employee record is linked to an HR employee record, the HR employee record displays in blue on the right side of the form.

Note: A working calendar must also be set on Timesheet Control to access this form.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

All companies

If you select this option, JC employees not already linked to a browser Timesheet employee display in the grid for all companies. For employees that work across multiple companies, if the name varies this is shown as a separate row. This is not case sensitive.

If deselected, only JC employees for the current company display.

Where there is more than one person with the same name in:

  • One company, details for both are listed
  • Multiple companies, details for the first are listed with only the name and company shown for the remainder.

Note: If the employee has the same employee code in each company, only the JC employee for the current company can be selected.

Create/Activate employees

Click to create a Browser Timesheet employee for each JC employee that has Create/Activate selected.

Create/Activate

Visible unless two or more employees with the same name exist in the same company, and at least one of those employees belongs to another company. The Create checkbox only displays for a JC employee for the current company.

Select Create to include the JC employee in the Create employees process.

Browser Employee

Select this option to enable the employee to log into Greentree Desktop browser to enter and view their timesheets or leave requests. The JC employee must already have access to HR functions in Greentree Browser.

New Timesheet Employee First Name/Surname/Usual Name

Defaults to the current company's or the first company's name if this information is not in the current company's JC Employee detail. You can edit this field.

Code

The JC employee code, which you can edit. This becomes the new Timesheet Employee's code.

User

For JC employees who have Has Login selected, this is the name of the login User assigned to the JC employee. You can change this option.

Use break times

Select this option if breaks are to include in expected hours calculations in timesheets.

Submit required

Select this option if the employee must select a Submit option in Timesheet to move to the next processing step.

Edit in approval

Select this option if the employee's timesheets can be edited when they are submitted.

Edit processed lines

Select this option if the employee's timesheet lines can be edited when they are processed.

Note: This only applies to lines that have updated to Job Cost. It does not apply to those that have been submitted or approved but do not update Job Cost.

Exclude from missing timesheets

Select this option to exclude the employee from the Missing Timesheets search.

Company {code} name

This option is visible for companies if the Job Cost module is in use and active JC employees exist.

If All companies is:

  • Selected, a column displays for each active company.
  • Deselected, a column displays for the current company.

Note: Links to JC employees are created only for the current company if All companies is not selected.
