Claim Schedule Maintenance


Use this form to set up schedules that can be assigned to jobs with a schedule-based charge type. Schedules are a way of setting up pre-determined cost lines that default to the AR Invoice Entry form for schedule-based jobs.

The cost type and sales code is always expected to be the same, but the quantity may change each time an invoice is generated. You can also assign fixed cost lines can also be assigned to schedules, enabling line quantities to default to invoice lines.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Header Details

Code

Enter a unique code to represent the schedule, up to 10 characters.

Description

Enter a extended description for the schedule, up to 30 characters.

Sales Code

Select a sales code to determine the general ledger account that the invoice value posts to.

Click Add Schedule to add lines to the schedule.

Schedule Line Details

Code/Description

Enter a user-defined code and description to represent the cost line.

Total Qty

Enter the total quantity of the cost line. This determines the Amount using the Rate, Convert, and Multiply parameters. You can change the quantity during invoice entry.

Amount

Greentree Desktop updates this value when you enter a Rate value or if you change the Total Qty, Rate, Convert, or Multiply parameters.

Unit

Enter a user-defined unit for the cost line.

Activity/Description

These fields do not interface with invoice processing.

Rate

Enter the rate of the cost. This is multiplied by the Total Qty to determine the Amount for the line. The Convert and Multiply parameters are also used to determine the final Amount value.

Convert

The default value is one but can be edited with the Multiply option to indicate that the final Amount should be divided by (multiply option not selected), or multiplied by (multiply option selected) the convert factor. You can set up more complex structures for pricing using the line quantity that is being invoiced. For example:

Rate is $100 per 500 units

If the Total Qty is equal to 800, the Amount calculates to (100 x 800) = $80000 if no conversion is entered.

Enter a Convert factor of 0.002 to reflect the basis of the rate, and select the Multiply option

The Amount is (100 x 800 x 0.002) = $160, which is the correct value.

Multiply

See Convert above.

Fixed

Select this option if you want the line to default to the AR Invoice Entry form with the Total Qty entered pre-populated as the invoice line quantity. If this option is not selected, the Current Quantity is empty for lines that default to the invoice, forcing a quantity to be entered.

Note: You can edit the quantity in the AR Invoice Entry form.

Min Qty/Min Amt

Enter the minimum quantity and/or value for the sales line. This indicates that you do not want to generate an invoice for this line unless the quantity and amounts exceed (or are equal to) the minimums specified here.

During invoice entry, if a current quantity is entered that is less than the minimum quantity, or a calculated amount is less than the minimum amount, Greentree Desktop updates the quantity or amount to the minimums specified here.

Leave these fields empty if you do not want to specify any minimum restrictions.

Max Qty/Max Amt

Enter the maximum quantity and/or value for the sales line. This indicates that you do not want to generate an invoice for this line unless the quantity and amount are less than (or equal to) the maximums specified here.

During invoice entry, if a current quantity is entered that is greater than the maximum quantity, or a calculated amount is greater than the maximum amount, Greentree Desktop updates the quantity or amount to the maximums specified here.

Leave these fields empty if you do not want to specify any maximum restrictions.

Sales Code/Description

Select the sales code used to determine the general ledger account that is credited with the sale value of the line when the invoice is processed.
