Enter Balance Adjustments


Use this form to adjust balance tracked items.

You can use this form when payroll adjustments are required that do not affect the general ledger and if a payment does not need to be issued. Balance adjustments include the adjusting of opening balances hours or the replacing of ordinary time with annual or sick leave.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Employee Code

Enter or select the employee code for the balance adjustment transactions to enter. This field populates if you select the employee details from either the Surname or First Name fields on this form.

Surname

Enter or select the surname of the employee for the balance adjustment transactions to enter. This field populates if you select the details from either the Code or First Name fields on this form.

First Name

Enter or select the first name of the employee for the balance adjustment transactions to enter. This field populates if you select the employee details from either the Code or Surname fields on this form.

Balance Number

Enter or select the balance transaction number for the balance adjustment transactions to enter. If you leave this field empty, Greentree Desktop applies the next available sequential balance number to the transactions when saved.

Batch

This is a read-only field that is populated by Greentree Desktop with the next available system batch number when you save the balance adjustment transactions.

Branch

This field is populated with the default employee branch when the employee details are selected above. You can change the default branch.

Balance Date

This field defaults to the system date when the balance adjustment transactions are being entered. You can change this date.

Period End Date

This is a read-only field that displays the period end date associated with the Balance Date entered for the balance adjustment transaction.

Balance Adjustment Line Details

Enter details into some or all of these fields:

  • DESCRIPTION - This is a read-only field that displays the description of the transaction type selected for the balance adjustment line.
  • QUANTITY - Enter either a negative or positive quantity for the balance adjustment transaction line.
  • AMOUNT - Enter either a negative or positive dollar amount for the balance adjustment transaction line. You can also leave this field empty and choose to revalue balances from the Process Accruals form at a later stage when all balance adjustments are entered and saved.
  • NARRATION - Enter text to explain each balance adjustment.
