Auto Codes
Greentree can generate codes for each Workflow item. Greentree Desktop can sequentially generate numbers and allocate them to the Workflow item. If Greentree Desktop tries to allocate the next sequential number and finds that it already exists (because it was manually entered), then Greentree Desktop skips that number and proceeds to the next one.
Each Workflow item has its own counter, allowing the numbering of each Workflow item to start at the number you select. You can also specify a prefix for the code, or you can pad the code with leading zeros. You can also view the value of the next code to be generated.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Auto Generate Codes
Use this form to select whether codes is automatically generated or have to be entered. The table lists:
- Workflow item
- Maximum length of the code field defined in the database. You cannot modify this field.
- Enable: If you select this option, the code is automatically generated.
- Pad: This field indicates the number of digits to use to represent the numeric part of the code. For example, if Prefix = CON and Pad = 4, the code generates as CON0001.
- Prefix: If the code is automatically generated with a prefix, enter the prefix in this field.
- Next: This field shows the value (number) of the next code to be created.
- Set Next: Use this setting
to automatically generate the next code. For example, if you set the
next code for a document rule and save your updates on the Module
Control form, then the next Document Rule (without manual entry of
code) is created with the code you enter in this field.
Note: Codes must be unique. Users can create new records while you maintain the Next code on the Module Control form. If the Set Next value is exceeded, a duplicate code message displays when you save the new record.
