Merge Contacts


Use the Merge Contacts feature to merge a source contact and a destination contact. Both the source and destination contacts must belong to the same organisation.

You can indicate which value (for each contact detail field) to use on the remaining contact. The source contact is deleted and the destination contact remains. Greentree Desktop defaults the value of all contact detail fields to Use Destination Contact. The merge moves all of the source contact's records to the destination contact, keeping history intact. A note is created on the destination contact, specifying the source contact it was merged with.

If the contact is on a record, then a message displays to inform you that the contact cannot be merged. Examples are:

  • Contact exists on a booking, which is quoted and the quote is invoiced.
  • Contact exists on a converted quote.

You must unlink contacts from their AR customer before merging them. Although the contact does not have a currency recorded against them, their customer currency is used for quotes.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Code

Select the source contact using the Code Search field.

Alpha

Select the source contact using the Alpha Search field.

Name

Select the source contact using the Name Search field.

Organisation

This field lists the organisation code of the source contact. This field is display only.

Code

Select the destination contact using the Code Search field. The search field only gives access to contacts that belong to the same organisation as the source contact.

Alpha

Select the destination contact using the Alpha Search field. The search field only gives access to contacts that belong to the same organisation as the source contact.

Name

Select the destination contact using the Name Search field. The search field only gives access to contacts that belong to the same organisation as the source contact.

Organisation

This field lists the Organisation code of the destination contact. This field is display only.

Merge Table

This table lists the contact detail of the source contact and the destination contact. Use these fields to view the detail and decide which value to use on the remaining destination contact. By default, all the destination contact's values are selected.

Click the Merge button to perform the merge.

The source contact is permanently deleted. All the records for the source contact is transferred to the destination contact.

If the contact is used on any record that is processed, then a message displays stating that the contact cannot be merged. For example, the contact is used on a booking, which is quoted and invoiced.
