Import Settings Tab
The Import Settings tab contains a number of default options that you can define for an interface. These options default to the Interface Schedule and are used during a scheduled or an ad-hoc import.
The settings include the type of file that contains the import, the action to be taken when errors occur during import and the ability to send notifications on completion of an import.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
File(s) to import
You can import one or more files. Select either:
- A single file.
- All files in directory: If multiple files are imported, you can enter a file filter that specifies the type of files to be imported — for example, .csv
Ignore first line of file
Select this option if the first line of the import file are not to be imported. This option ignores a header line.
Delete import file(s)
Select any of these options to delete the import file:
- On Success - Once the import is successfully completed.
- On Error - Once the import is completed and errors occurred.
- On Warning - Once the import is completed and warnings exist.
Abort Import after error limit reached
Select this option to abort an import after a certain number of errors have occurred.
Max Error Limit
Enter the maximum number of errors in this field. When the import exceeds this number of errors, the import is aborted and the remainder of the import file is saved in the \Unprocessed folder.
Unprocessed
Enter the folder if the import file, containing the unprocessed import lines, should be saved to — for example, c:\importaborted.
Interface Log
The Interface log is an auto captured system log created during the import of a file. You can save either of these as an attachment to the Greentree Desktop log:
- Input file - The file(s) used for import.
- Log file - The log file(s) specified in the Log File Folder frame.
Note: If the Other tab of the Workflow Module Control form specifies that attachments are saved internally, then the input or log files are stored in the database and have the potential to increase the size of the database considerably. You should use the Move import files to folder options instead.
Default Report
Select the default report to use for the import.
Click the Run Report button on the Imported Object(s) tab of the Workflow Interface Log Maintenance form to generate the report.
Check Approval Rules
Select this option if the Approvals and Alerts module is in use.
If you select this option, Greentree Desktop checks during import if approval rules are setup for the record type. If it exists, the approval rules are followed.
Notifications
You can send a notification to a Greentree Desktop user on each of these import results:
- On Success - Once the import is successfully completed
- On Warning - Once the import is completed and warnings exist
- On Error - Once the import is completed (or aborted) and errors occurred.
Email Attachments
You can attach any of these to the email notification:
- Import File - The original import file is sent to the notify user as an email attachment.
- Log Files - The log files specified in the Log File Folder frame is attached to the email and sent to the notify user.
The Notifications use the Approval and Alerts module.
Rename File Extension to
The import file can be renamed on completion of the import by updating the file extension. To do so, enter the file extension to use — for example, .txt.
Give import file a unique name
Select this option if Greentree Desktop should rename the import file on completion of the import.
Greentree uses this format: originalname_8801_111_1.csv. In this example, 8801_111 is the OID (unique identifier) of the import task and 1 signifies it was the first file processed (each file is assigned a number using the order it was processed).
Set Archive flag on Import file
Select this option to have the import file marked as an archive file on completion of the import. If you select this option, Greentree Desktop also selects the File is ready for Archiving option on the import file when the import is completed.
Log File Folder
Enter the directories in which to save error logs or warning logs.
- The error log is created when errors occur during import. Errors are items that were not imported. An inputFilename_err.log is created and contains the name of the input file, the line if the error/warning occurred and a description of the problem. A second file, inputFilename.error, is also created and contains the line(s) of data from the input file that had a problem. You can fix the problem and then import the file again.
- The warning log is created when warnings are generated during import. Warnings are items that imported, but require attention. An inputFilename_wrn.log is created and contains the name of the input file, the line if the error/warning occurred and a description of the problem. A second file, inputFilename.warning, is also created and contains the line(s) of data from the input file that had a problem. You can fix the problem in the database or in the warning file and then import the file again.
Move import file(s) to folder
You can move the import files from the original location to another specified location after the import. The move can be performed if the import completed:
- Successfully
- In error
- With warnings
Enter the file location for each of the above completion statuses. The same file location can be used.
