Main Tab
Use this tab to create a parent/child relationship for locations using the Parent field. You can use the location hierarchy to perform enquiries or reporting for a specific location, or for the location and sub-locations. You can define the type of location and select these options:
- Physical Assets at this level - Physical assets are allowed at the selected location.
- Service & Support Permitted - This location is available for selection on the Call or Service Request forms.
- Spares Location - Spares are kept at this location.
- Repair Location - Assets are repaired at this location. The dropdown list of locations that are available during asset repair or replacement is limited to repair locations.
A location can have a specific relationship with organisations, or none. If a relationship exists, the Primary Organisation field is enabled. You can set up detail such as primary contact and delivery address.
You can select the default service level and service person for the location, and the location status. You can also define your internal profit centre and branch.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Location Code
Enter a unique code to identify the location. The location code combines the codes from the location and the code from parent location.
For example, a location with a code of Y with a parent of X creates the code X.Y. You can enter up to 62 alphanumeric characters.
Location Hierarchy
This field displays the existing location as a hierarchy. You can view the detail of each location by selecting the branch in the hierarchy.
Location Alpha
Enter a meaningful short code or abbreviation for the location. You can enter up to 20 alphanumeric characters.
If this field is empty, Greentree Desktop defaults to the first eight characters of the description.
Location Description
Enter text to describe the location. you can enter the full name for the location.
Parent
Use the Parent field to link the location to a higher-level location, creating a hierarchy of locations. Select the parent location for the location you are adding or editing. Your new location is added to the location structure at one level lower than the selected parent location.
Physical Assets at this level
Select this option if physical assets or scheduled maintenance are allowed for this location.
If not selected, the location does not appear in the dropdown of locations on the Asset Maintenance or Scheduled Maintenance forms.
Service & Support Permitted
Select this option if service and support may be performed at this location and if contracts can be created for this location.
If not selected, the Location does not appear in the dropdown of locations on the Support Calls, Service Requests, and Contracts tabs.
Spares Location
Select this option if spares are allowed at this location.
Clear Custodian Contact on Move
Select this option if the custodian contact on the physical asset should be cleared when the asset is moved to the selected location. This option is enabled when the selected location is a spares location.
Repair Location
Select this option if repairs may be performed at this location. If not selected, the location does not appear in the list of repair locations on the Repair and Replace form.
Status
Select the status for the location from the dropdown list.
Primary Organisation
Select the primary organisation for the location. The primary organisation is used on forms to:
- Validate the location to the organisation when a one-to-one relationship is specified on the Main tab of the Module Control form (one organisation for each location).
- Default the primary organisation to the Valid Organisations tab when a one-to-many relationship is defined on the Main tab of the Module Control form.
Primary Contact
Select the primary contact for the location.
Delivery Address
Select the delivery address for the primary organisation.
Phone Number
Enter the phone number for the location.
