Maintenance Cycle Templates
Some assets require scheduled maintenance. To generate the maintenance for these assets, you must define maintenance cycles and then link them to the asset. Use this form to define templates for this purpose.
You can define the type of service to perform. The type also is a group, enabling you to generate maintenance using the type of maintenance cycle.
You can link a job from the Job Cost module to the maintenance template. If you select this option, this job is used as default on generating the service requests. You can base a maintenance cycle on time and usage.
The buttons on this form are:
- Copy Template - To create a maintenance cycle based on a cycle template, select the template using the Template search field. The selected template is listed in the Template field. Click the Copy Template button to load the template. once loaded, the various fields on the form is filled with the template's detail. You can change these fields and then save the new maintenance cycle.
- Inventory - Spare parts can be allocated to a maintenance cycle. These spare parts can default from the asset or created with the cycle itself. Click the Inventory button to open the Maintenance Cycle Inventory form on which the spare parts are allocated.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Cycle Code
Enter a code to identify the maintenance cycle or template. Up to 20 alphanumeric characters can be entered.
Cycle Name
Enter a unique name for the maintenance cycle.
Schedule Type
Select the schedule type for the maintenance cycle. This is a lookup field, enabling you to define custom types according to your need. You can also use the schedule type as criteria on the Generate Maintenance form to generate service requests.
SV Group
If Service Person is selected and belongs to only one group, then SV Group is taken from the service person.
If not, then select the service group to allocate to the service request generated from the cycle.
SV Person
Select the service person to perform maintenance for this cycle. The generated service request is allocated to this service person.
If Service Person is not selected on the cycle, then the service person on the service request is based on:
- If the asset is linked to only one contract, then the default service person for the contract is used.
- The default service person for the location is used.
- The service person on the call or service request remains blank.
Service Request Type
Select the default service request type for service request generated from this cycle.
Note: The service request type determines the colour of the service request on the Planner.
Job
Select the default job for the asset maintenance cycle from the dropdown list of Job Cost module jobs.
Start Time
Enter the scheduled to time to be allocated to the service request generated from this cycle.
Note: If the Service Request Scheduled to Date is blank, then the time defaults to 0:00 regardless of this setting.
Time/Usage Based
Select this option to indicate that the maintenance cycle is based on time or usage. Time-based scheduled maintenance is performed at a pre-defined frequency. Usage-based maintenance is performed using the asset — for example, hours worked or number of copies made.
If time based, you can select a weekly, monthly, or yearly frequency. For each of these, criteria display on the form. You must enter:
- Weekly - Every x-number of weeks on weekdays selected. Enter the frequency of weeks and select days.
- Monthly - Select one of
these and enter the detail required
- Day x of every y months - Enter the day of the month, and the frequency of months. For example, Day 1 of every six months.
- The xth weekday of every y months - Select the xth day from the first dropdown list, the weekday from these dropdown list and indicate the frequency of months. For example, the first Monday of every two months.
- Yearly - Select one of these and enter the detail required
- Every Month on the Date - Select the month from the dropdown list and enter the date on which the service is to be performed.
- The xth day of y-month - Select the xth day from the first dropdown list, the weekday/period from the second dropdown list and the month from the last dropdown list. For example, every first weekday of January.
If Usage Based, enter:
- Every x-number of unit-of-measure - Enter the usage amount and select the unit-of-measure from the dropdown list. For example, scheduled maintenance to be performed every 10,000 kilometers.
- No of days history for Maintenance Cycle predictions - This field captures the number of usage history days to use for usage predictions for this asset maintenance cycle.
If you do not want to use usage based history predictions for this asset cycle, enter a negative number into this field.
The Generate Maintenance form determines the number of history days to use for usage based maintenance predictions in this order:
- Physical Asset > Usage
- Maintenance Cycle
- Asset Class Maintenance
- Module Control > Asset Mgmt
End Date
Select one of these End Dates:
- No End Date - No end date applies to maintenance. Maintenance cycles is generated based on the Up to Date specified during Generate Maintenance.
- End after x-number of occurrences - Enter the number of maintenance cycles that must be performed.
- End By Date - Enter the end date for scheduled maintenance. This cycle is discarded during Generate Maintenance when the end date is reached.
Change Text
The Service Work to Be Done field contains the text entered for the schedule type selected on the Schedule Type Maintenance form. This field is display only.
Select Change Text to maintain the service work to be done. The Service Work to be Done field updates to the maintenance cycle when the schedule type is selected. It is also used to update the problem text on the service request after scheduled maintenance is generated.
Note: If the schedule type is changed on an existing cycle, then the Service Work to be Done field only updates if the new schedule type selected has service work specified, which is defined on the Schedule Type Maintenance form.
This field displays the service work to be performed as entered against the schedule type selected on the Schedule Type Maintenance form. This field is display only, unless Change Text is selected.
This field updates to the maintenance cycle when the schedule type is selected. It also updates the problem text on the service request after scheduled maintenance is generated.
Note: If the schedule type is changed on an existing cycle, then Service Work to be Done is only updated if the new schedule type selected has service work specified, which is defined on the Schedule Type Maintenance form.
Estimated Travel Time
The estimated travel time entered for the service type selected on the Service Type Maintenance form displays. You can change this field.
The estimated travel time updates to the Estimated Travel Time field on the Time Line tab of the Service Request form after scheduled maintenance is generated.
Estimated Time Cost
The estimated time cost entered for the selected service type displays. You can change this field.
The estimated Time Cost updates to the Estimated Time Cost field on the Time Line tab of the Service Request form after scheduled maintenance is generated.
Estimated Time Sell
The estimated time sell entered for the selected service type displays. You can change this field.
The estimated Time Sell updates to the Estimated Time Sell field on the Time Line tab of the Service Request form after scheduled maintenance is generated.
Estimated Service Time
The estimated service time entered for the service type selected on the Service Type Maintenance form displays. You can change this field.
The estimated Service Time updates to the Estimated Service Time field on the Time Line tab of the Service Request form after scheduled maintenance is generated.
Estimated Other Cost
The estimated other cost entered for the service type selected on the Service Type Maintenance form displays. You can change this field.
The estimated other cost updates to the Estimated Other Cost field on the Time Line tab of the Service Request form after scheduled maintenance is generated.
Estimated Other Sell
The estimated other sell entered for the service type selected on the Service Type Maintenance form displays. You can change this field.
The estimated Other Sell updates to the Estimated Other Sell field on the Time Line tab of the Service Request form after scheduled maintenance is generated.
