Transactions
Post Privileges
To enter any Accounts Payable, Accounts Receivable, Cash Management, General Ledger, Purchase Order, or Sales Order transactions you must have:
- Add privileges for the type of transaction you are entering, and
- Post privileges for the customer, supplier, or general ledger account to enter the transactions against. You don't need Post privileges for the AR Receipts function.
If you:
- Have All Post privileges, you can post transactions to any customer, supplier or general ledger account.
- Do not have Team Post privileges, you can't select a customer, supplier, or general ledger account to post the transaction to.
You can only select customers, suppliers, or general ledger accounts belonging to your team.
Add Privileges
If you have add privileges for a transaction type you can add new transactions to any of the customers, suppliers, and general ledger accounts that you have post privileges to.
If you do not have add privileges for a transaction type and you try to add a new transaction, an error message displays.
If you close the error message and continue to enter details and try to save, a second error message displays. Greentree Desktop doesn't save the transaction to the database. You must cancel the operation or contact an administration to update your add privileges.
Change Privileges
To change any Accounts Payable, Accounts Receivable, Cash Management, General Ledger, Purchase Order, or Sales Order transactions, you must have:
- Change privileges for the type of transaction you are entering, and
- Both Post and Read privileges for the customer, supplier, or general ledger account that the transaction was entered against.
If you do not have change privileges and you try to change a transaction, an error message displays. If you click OK on the error and continue to change details, then try to save, a second error message displays. Greentree Desktop does not save the changes to the database. You must cancel the operation to be clear of the message, or contact an administrator to update your change privileges.
Delete Privileges
To delete any Accounts Payable, Accounts Receivable, Cash Management, General Ledger, Purchase Order, or Sales Order transaction, you must have:
- Delete privileges for the type of transaction to delete, and
- Both Post and Read privileges for the customer, supplier, or general ledger account that the transaction was entered against.
If you do not have delete privileges, the Delete icon is not available and the delete key is disabled.
Read Privileges
If you have:
- All Read privileges you can view all the transactions for all customers, suppliers, or general ledger accounts. The transactions display in full.
- Team Read privileges you can view the full transaction for those customers, suppliers, or general ledger accounts that have been assigned to your team or teams. The transactions belonging to customers, suppliers, or general ledger accounts assigned to other teams is loaded as read only and do not display in full. The line items do not display and the total values on the document header display as N/A. This also occurs if you have no read privileges.
GL Line Items
You can only enter, change, or delete general ledger line items for accounts that you have post privileges to. The general ledger account search fields only contain those accounts. If you enter an account number that you do not have access to, Greentree Desktop will treat it as non-existent.
If you recall a transaction that includes a general ledger line item to an account that you do not have post privileges to, the transactions is loaded in read only mode.
Although you can view all the line items, you can't drill down into an account unless you have read privileges to that account. If you try to drill down into an account to which you do not have read privileges a privilege error displays.
