Maintenance Functions
Each customer, supplier, and GL account maintenance function has an Assigned team option on the Main tab. This option contains a list of all the available teams that you have set up. This defaults as per the user preference setting Assign default team on new.
If Assign default team on new is set to:
- My Default Team, your default team defaults on the masterfile.
- Module Default, it checks the setting on the Module Control form, which may be My Default Team or Unassigned.
If it is set to Unassigned, no team defaults.
Add or Change Privileges
If you:
- Have Add privileges you can add new customer, supplier or general ledger account, and assign them to any team. If you do not have Add privileges and you try to add a new customer, supplier or account, an error message displays.
- Have All Change privileges, you can change any customer, supplier and general ledger account. If you only have Team Change privileges, you can only change the customers, suppliers, or general ledger accounts assigned to your team or teams.
- Do not have All Change privileges, or if you have neither All nor Team Change privileges, and you try to change any existing customer, supplier or general ledger account, an error message displays. If you close the error message, you continue to attempt entering details, a second error message displays.
Any changes you have made are not saved to the database. You must cancel the operation or you can get an administrator to update your privileges.
Delete Privilege
If you:
- Have All Delete privileges you can delete any customer, supplier, and general ledger account if no existing transactions, sales orders, and the like allow it.
- Do not have All Delete privileges, the delete icon is not available and the delete key is disabled for the customers, suppliers or general ledger accounts that are not assigned to your team or teams.
- Only have Team Delete privileges you can delete only the customers, suppliers, or general ledger accounts that have been assigned to your team or teams.
- Do not have any Delete privileges, the delete icon is not available and pressing the Delete key will not delete customers, suppliers, or general ledger accounts.
Read Privilege
If you:
- Have All Read privileges you can view all the information contained on the maintenance or enquiry forms for any customer, supplier, or general ledger account.
- Have Team Read privileges you can view information for customers, suppliers, or general ledger accounts that have been assigned to your team or teams. The search field dropdown list for selecting the customer, supplier, or general ledger account only contains the masterfiles belonging to your team or teams.
- Enter a code for a customer, supplier, or general ledger account that you do not have Read privileges for, Greentree Desktop ignores it. The NEXT and PREV icons and keys only scroll through those customers, suppliers, or accounts that have been assigned to your team or teams.
- Have neither All nor Team Read privileges, an error message displays when you select the maintenance option from the menu and the maintenance or enquiry form does not open.
