Main Tab - Applicant Maintenance


Use the Main tab to capture the contact detail of the applicant, such as Contact Phone numbers, Email and Fax fields, Street and Postal Address. The postal address defaults to the street address, but you can change that. Title and Usual Name are mandatory fields. Usual Name defaults to First Name plus Surname and you can change it.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Applicant Code

The applicant code is a unique value that identifies each applicant in your recruitment module. You can enter it or it can be system generated.

Applicant - Surname

Enter or select the surname of the applicant to be maintained.

Applicant - First Name

Enter or select the first name of the applicant to be maintained.

View

This field determines which records you have access to. The default view is set in module control. You can modify your view (depending on your security level):

  • All: All records are available, no limitation based on the owner of the record.
  • Mine: Only the records that are assigned to you are available.
  • Team: Only the records that are assigned to your team(s) are available.

Note: The View field respects the security settings defined in User Preferences. Logging in as super gives you access to all records.

Applicant - Title

Select the title appropriate to the applicant that is to be maintained.

These titles respect the chosen male/female setting for the applicant.

Applicant - Male

Select this field to define the sex of the applicant as male.

This field respects the chosen title for the applicant.

Applicant - Female

Select this field to define the sex of the applicant as female.

This field respects the chosen title for the applicant.

Applicant - Usual Name

The usual name is taken from the surname and first name entered above. You can change the usual name. Usual Name is compulsory to save the applicant.

Applicant - Salutation

Enter the salutation/greeting that would be used if written correspondence is to be generated for the applicant.

Applicant - Birth Date

Enter the applicant's date of birth.

Applicant - Status

Enter or select, from the dropdown list, the current applicant status for the applicant. Status is compulsory to save the applicant.

Applicant - Business Hours Phone Number

Enter the phone number where the applicant can be reached during business hours.

Applicant - Mobile Phone Number

Enter the applicants mobile phone number.

Applicant - Fax Number

Enter the fax number for the applicant.

Applicant - After Hours Phone Number

Enter the phone number where the applicant can be reached after business hours.

Applicant - Email Address

Enter the applicant's email address.

Street Address

The Street Address consists of three lines, each 30 alphanumeric characters long. Enter the applicant's street address.

Post Code

Enter the applicant's Post Code, up to 10 characters long. You can also use the dropdown list to select a post code. The list of dropdown values consists of the values from the Post Code Maintenance form. The state and time zone default to the values entered within Post Code Maintenance.

State

Manual entry is disabled. The state defaults to the state entered against the post code, during Post Code Maintenance.

Country

This field defaults to the country of the current company, as maintained in System > Utilities > Company Maintenance.

You can select another country from the dropdown list, if required. The values in the dropdown list are maintained through System > Utilities > Country Maintenance.

If you select another country from the list, the selected country code will be appended to the end of the last address line upon saving.

T/Zone

Manual entry is disabled. The Time Zone field defaults to the time zone entered against the post code, during Post Code Maintenance.

Same as Street Address

If selected, the postal address details are updated with the applicant's street address. If deselected, the Address fields become available for update so that you can maintain the address.

Street Address

Country

This field defaults to the Country for the current Company, as maintained in System > Utilities > Company Maintenance. You can select another Country from the dropdown list. The values in the dropdown list are maintained through System > Utilities > Country Maintenance.

If you select another country from the list, the selected country code will be appended to the end of the last address line upon saving.

T/Zone

Manual entry is disabled. The Time Zone field defaults to the time zone entered against the Post Code, during Post Code Maintenance.

Attachments

Click this button to add, edit, view, or delete an attachment to the individual applicant record.

Re-Activate

Click this button to select the status for the selected applicant to re-activate.

Convert to Employee

Click this button to convert the individual applicant record to an employee record.

Verified

This checkbox indicates all of the saved information within the applicant record is previously verified as correct by a user with the relevant permissions.
