Accrual Level Maintenance
Use the Accrual Level Maintenance form to establish the parameters of the accrual rule. Each rule can have multiple levels that define when and with how much an employee's balanced tracked item will be updated. The options that are available on this form will alter depending whether the accrual is an advance one or an arrears one however the main sections of the form will not change.

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
ARREARS
Description
Enter text that describes the accrual rule level being maintained.
When - Up to Date
This option updates a proportion of the value entered in the How Much field each pay period. The accrual will multiply the number of days since the last accrual (or opening balance date or start date) by the value in the How Much field then divide the result by 365 or 366 in a leap year.
When - Anniversary of starting date
This option updates the entire value entered in the How Much field on the anniversary of an employee's start date.
When - Anniversary of starting date plus X months
This option updates the entire value entered in the How Much field on the anniversary of an employee's start date plus the number of months entered.
When - Months
Enter the number of months from the employee's start date the accruals should be applied.
When - Fixed date
This option updates the entire value entered in the How Much field on each anniversary of the day and month selected in the fixed date field. The date entered is the first day of the accrual process. For example: A fixed date of 30 September will accrue for the period 30/09/YYYY to 29/09/YYYY.
When - Date
If the fixed date checkbox is selected you should then define the fixed date when the balance accrual is to take place.
When - Month
If the fixed date checkbox is selected you should then define the fixed date when the balance accrual is to take place.
When - Each GL Period
This option updates a proportion of the value entered in the How Much field each General Ledger period. The accrual will calculate the proportion by dividing the How Much by the number if periods in the default calendar as established in the General Ledger Module Control.
How Much - X Hours per year
Enter the annual hours that are accrued for this level within this rule. This value will then be used with the When calculation to determine how many hours updates to an employee for each accrual process.
How Much - Same amount per month
Select this option to accrue the same amount of hours for each calendar month. This is only applicable for monthly employees.
How Much - Hours
Enter the number of hours that are to accrue when this rule is processed.
How Much - X% of standard hours/week
Enter the percentage of the employees standard hours per week (from the balance tracking tab) that are accrued for this level within this rule. This value will then be used with the When calculation to determine how many hours updates to an employee for each accrual process.
How Much - Same amount per month
Select this option to accrue the same amount of hours for each calendar month.
How Much - Percentage
Enter the percentage of the hours that are to accrue when this rule is processed.
How Much - X% of hours in Accumulator
Enter the annual percentage value of the accumulator that is to be accumulated for this level within this rule. This value will then be used with the When calculation to determine how many hours updates to an employee for each accrual process.
How Much - Percentage
Enter the percentage of accumulator hours that are to accrue when this rule is processed.
How Much - Accumulator
If the number of hours to accrue by the rule should be a percentage of hours in accumulator, select the relevant accumulator that is to be used from this dropdown list.
Value using - Use Current Hourly Rate
If you select this option, the accrual will be valued using the employee's current hourly rate for the transaction type the accrual rule is applied to.
Value using - Use X % of value in Accumulator
Enter the annual percentage value of the accumulator that is to be accumulated for this level within this rule. This value will then be used with the How Much calculation to determine the value that updates to an employee for each accrual process.
Value using - Percentage
Enter the percentage of accumulator value that is to calculate when this rule is processed.
Value using - Accumulator
If the value using to accrue by the rule should be a percentage of value in accumulator, select the relevant accumulator that is to be used from this dropdown list.
Entitlement - Immediately
If you select this option, the employee will be entitled to the accrued hours as soon as the accrual is processed based on the When selection.
Entitlement - Next Anniversary
If you select this option, the employee will be entitled to the accrued hours on the next anniversary of their start date. This option is not available for advance rule levels
Entitlement - Fixed Date
If you select this option, the employee will be entitled to the accrued hours on the anniversary of the day and month entered in this field. This option is not available for advance rule levels.
Entitlement - Date
If the fixed date checkbox is selected you should then define the fixed date when the employee is entitled to the balance accrued.
Entitlement - Month
If the fixed date checkbox is selected you should then define the fixed date when the employee is entitled to the balance accrued.
Entitlement - After X months from starting date
If you select this option, the employee will be entitled to the accrued hours after they have worked the number of months entered from the start date. An example of this would be long service leave where you can accrue from year five but the employee will not be entitled to the accrued hours until year ten. This option is not available for advance rule levels.
Entitlement - Months
If the X months from start date checkbox is selected you should then define the number of months from their start date until the employee is entitled to the balance accrued.
Move to rule - Never
If you select this option, this accrual level is the final level for the accrual. Greentree uses this level to update the accrued and entitled hours for all employees who qualify for the level.
Move to Rule - Anniversary
If you select this option, Greentree will move to the next level within the accrual for each employee once their start date anniversary is reached.
Move to Rule - After X months from starting date
If you select this option, Greentree will move to the next level within the accrual for an employee once they have worked the nominated amount of time.
Move to Rule - Months
If the accrual rule is to move to another rule level after a pre-defined number of months from the employees start date, enter the relevant number of months within this field.
Move to Rule - Month
If the fixed date checkbox is selected you should then define the fixed date when the move to another accrual level is to take place.
Move to Rule - Fixed Date
If you select this option, Greentree will move to the next level within the accrual for each employee once the anniversary of the day and month entered is reached.
Move to Rule - Date
If the fixed date checkbox is selected you should then define the fixed date when the move to another accrual level is to take place.
Move to Rule - Accrue hours on move
Enter a number of hours to accrue on moving to a new rule. This allows for a lump sum amount to be accrued at a particular point.

ADVANCE
Description
Enter text that describes the accrual rule level being maintained.
When - Once
Select this field if the Advance balance accrual is to occur only once.
When - Anniversary of starting date
This option updates the entire value entered in the How Much field on the anniversary of an employee's start date.
When - Anniversary of starting date plus X months
This option updates the entire value entered in the How Much field on the anniversary of an employee's start date plus the number of months entered.
When - Months
Enter the number of months from the employee's start date the accruals should be applied.
When - Fixed date
This option updates the entire value entered in the How Much field on each anniversary of the day and month selected in the fixed date field. The date entered is the first day of the accrual process. For example: A fixed date of 30 September will accrue for the period 30/09/YYYY to 29/09/YYYY.

If the fixed date checkbox is selected you should then define the fixed date when the balance accrual is to take place.
When - Month
If the fixed date checkbox is selected you should then define the fixed date when the balance accrual is to take place.
When - Every X Months
Enter the recurring number of the months the accrual value should be applied for the employee.
Expire
Select this option if the remaining balance of this accrual rule level should be expired before the new accruals are granted.
Expire Negative Balance
Select this option if negative accrual balances should be expired for this level before the accruals are granted.
How Much - X Hours
Enter the annual hours that are accumulated for this level within this rule. This value will then be used with the When calculation to determine how many hours updates to an employee for each accrual process.
How Much - Hours
Enter the number of hours that are to accrue when this rule is processed.
How Much - Maximum Hours
Select this option if this accrual rule level has a maximum number of accrual hours applicable. When the maximum hours are reached, the employee will be granted the full accrual however any amounts exceeding the maximum will be immediately expired.
How Much - Value
Enter the maximum number of hours for this accrual rule level.
Move to rule - Never
If you select this option, this accrual level is the final level for the accrual. Greentree uses this level to update the accrued and entitled hours for all employees who qualify for the level.
Move to Rule - Anniversary
If you select this option, Greentree will move to the next level within the accrual for each employee once their start date anniversary is reached.
Move to Rule - After X months from starting date
If you select this option, Greentree will move to the next level within the accrual for an employee once they have worked the nominated amount of time.
Move to Rule - Months
If you have selected that the accrual rule is to move to another rule level after a pre-defined number of months from the employees start date - you should enter the relevant number of months within this field.
Move to Rule - Fixed Date
If you select this option, Greentree will move to the next level within the accrual for each employee once the anniversary of the day and month entered is reached.
Move to Rule - Fixed Date
If the fixed date checkbox is selected you should then define the fixed date when the move to another accrual level is to take place.
Move to Rule - Month
If the fixed date checkbox is selected you should then define the fixed date when the move to another accrual level is to take place.
