Main Tab


This tab captures whom the Schedule Maintenance is for. You must select the Organisation and Status from the dropdown lists available. Location can be compulsory, optional, not required or optional on creating a new Schedule Maintenance, but required when closing the Schedule Maintenance. This Location option is set on the CRM > Module Control > Service tab. You can also select a Contact.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Code

Enter a unique code. This field is alphanumeric. You can set the Codes to be generated by Greentree Desktop.

Schedule Maintenance Cross Reference

Enter the client's cross-reference. The cross-reference enables you to perform a search using the client's reference number /code. This field is alphanumeric. Up to 20 characters can be entered.

Description

Enter a Description for the Schedule Maintenance. Up to 80 alphanumeric characters can be entered.

View

This field determines which records you have access to. The default view is set in CRM > System > Module Control. You can modify your view (depending on your security level), by selecting one of these options:

  • All: All records are available, no limitation based on the owner of the record.
  • Mine: Only the records that are assigned to you are available.
  • Team: Only the records that are assigned to your team(s) are available.

Note: The View field respects the security settings defined in User Preferences. Logging in as super gives you access to all records.

Organisation

Select the Organisation that the Schedule Maintenance is for, from the dropdown list. The dropdown list contains all CRM Organisations.

Contact

Select the Contact for which scheduled maintenance is required from the dropdown list of Contacts. The dropdown contains all contacts for the selected Organisation. If the Contact is selected before selecting the Organisation, then the Organisation uses the Contact selected.

Location

Select the Location for which scheduled maintenance is required from the dropdown list of Locations.

Location can be set to Compulsory, Optional, Not Required or Optional to Open/Compulsory to Close. This setting is located on the CRM Module Control > Services tab.

Status

This field defaults to Active when adding a new record. Maintain Status.

Verified

This field indicates:

  • Whether the record is checked for accuracy
  • When Added, by Whom
  • When Last Edited, by Whom Select, if record is verified.
