Security Tab - CRM Relationships


The Security tab captures and displays the Assigned User and Team. This tab also contains a number of default settings for the Organisation, such as eService Login passwords, default user and teams and default jobs.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Assigned User

This field displays the current owner of a record. Security uses the record ownership to determine access defined in User preferences. Records are created with the Assigned User defaulting based on:

  • User Preferences > CRM Settings
  • CRM System Setup > Security settings

In User Preferences > CRM you can select the Assigned User to default to:

  • Mine (Current User) - User defaults to the currently logged in User.
  • Unassigned - No default user will be assigned when a new record is created.
  • Module Default - CRM System settings is used.

If Module default is selected, then these CRM System Setup > Security options are available:

  • Mine (Current User)
  • Unassigned

The Assigned User can be maintained as required by selecting another User from the dropdown. The dropdown list contains all the users defined in System > System Setup > User Maintenance.

Assigned Team

This field displays the current team who owns a record. Security uses the record ownership to determine access defined in User preferences. Records are created with the Assigned Team defaulting based on:

  • User Preferences > CRM Settings
  • CRM System Setup > Security settings

In User Preferences you can select the Assigned Team to default to:

  • My Default Team - The default Team for the currently logged in User is used.
  • Unassigned - No default Team will be assigned when a new record is created.
  • Module Default - CRM System settings is used.

If Module Default is selected, then these CRM System Setup > Security options are available:

  • My Default Team
  • Unassigned

The Assigned Team can be maintained as required by selecting another Team from the dropdown. The dropdown list contains all the teams as defined in CRM > System > Utilities > CRM Team Maintenance.

Default Team for Service Request

Select the default Security Team to use when creating new Service Requests for this Organisation. The Service Requests can be generated from within CRM or through eCRM. This field is visible/hidden based on Module Control settings, Services tab.

Information If the Default Team for Service Request field is visible on the Organisation maintenance form, but no Team is selected, then the Service Request Security Team will be assigned using the current CRM User's Module Control Security settings.

Default Team for Call

Select the default Security Team to use when creating new Support Calls for this Organisation. New Support Calls can be generated from within CRM or through eCRM. This field is visible/hidden based on Module Control settings, Services tab.

Information If the Default Team for Calls field is visible on the Organisation Maintenance form, but no Team is selected, then the Support Call Security Team will be assigned using the current CRM User's Module Control Security settings.

Default Job for Service Request

Select the default job for Service Requests generated for the selected Organisation. Drill down on the job to view the detail. The selected job defaults on the Service Request when the Service Request is saved and the Job field is blank.

Default Job for Call

Select the default Job for Support Calls generated for the selected Organisation. Drill down on the job to view the detail. The selected job defaults on the Support Call when the Call is saved and the Job field is blank.

Default Debt Collection Call User

Select the default user to be assigned to Debt Collection Calls for this Organisation.

The Organisation Debt Collection User can be updated in bulk through the CRM > System > Utilities > Bulk Re-assign User feature.

Default Debt Collection Call Team

Select the default Team to be assigned to Debt Collection Calls for this Organisation.

The Organisation Debt Collection Team can be updated in bulk through the CRM > System > Utilities > Bulk Re-assign Team feature.

Restrict eService Search Teams

Select the Teams that the Organisation can perform searches for in eService. The selected Teams appear in the field located below Restrict eService Search Teams.

eService Password

Enter the eService Password for the Organisation. The eService Password is used to access eService.
