Organisation Relationship Maintenance
Use the Organisation Relationship lookup field to define your own list of values. For each Relationship you define, you must indicate the Relationship type.
You can select one or multiple Relationship types:
- Customer - The Organisation is linked to an AR Customer.
- Reseller - The Organisation is available for selection in the various Reseller fields.
- Supplier - The Organisation is linked to an AP Supplier.
- Other - This option has no specific influence on Code. Use it to define a number of relationships to classify the Organisations you deal with, for example: Prospects.
The general CRM user should not have access to maintain Organisation Relationships. The list of Relationships should be limited to a meaningful, non-duplicate list of items to ensure that it adds value.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Code
Enter the Code for the Organisation Relationship. Code must be unique.
Description
Enter a Description for the Organisation Relationship. The description must be descriptive of the relationship as this field is used to select the Relationship on the Organisation Maintenance form.
System Entry
The Super User (System Administrator) can select or deselect this field. If this field is selected, only the Super User has access to maintain the value. Having this control over Lookup fields is recommended to limit the number of available selections.
The recommendation is based on: Lookup fields serve the additional purpose of grouping records according to the selected value.
These groups are powerful search criteria for enquiries and reporting purposes. The more selection criteria, the less powerful and manageable the groups become. As an alternative, use Security to restrict access to CRM System settings to Administrators only.
Customer Relationship Type
Select this option if Organisations of this Relationship Type are also Accounts Receivable Customers. If selected, the Organisation to AR Customer link on the Organisation Maintenance form, will be mandatory for all Organisations of this Relationship.
If Organisations
of this Relationship Type are both Customers and Resellers, then you must
select both the Customer and Supplier options.
Reseller Relationship Type
Select this option if Organisations of this Relationship Type are Resellers. All Organisations with Relationship = Reseller are available for selection in the Reseller search field on multiple maintenance forms in CRM.
Supplier Relationship Type
Select this option if Organisations of this Relationship Type are also Accounts Payable Suppliers. If selected, the Organisation to AP Supplier link on the Organisation Maintenance form, will be mandatory for all Organisations of this Relationship.
If Organisations
of this Relationship Type are both Customers and Resellers, then you must
select both the Customer and Supplier options.
Other Relationship Type
Select this option if the Relationship is for Organisations that are not:
- Customers
- Suppliers
- Resellers
Other is used for Prospects, Competitors, and the like.
