Internal Tab
This tab captures detail for the Organisation, but of use internally to your company such as the originating source, importance and classification.
An Alerts field is available for general alerts, such as Red carpet treatment - new MD. The value of this field displays every time this Organisation is selected in the Organisation Maintenance form.
Credit Information is captured, such as Method of Payment and whether or not the Organisation is on stop credit. A Credit alert is available to inform employees of specific Credit details such as No Services - outstanding Invoices.
You can define the Sales structure for the Organisation, from Reseller to Territory, specific Sales Manager and the internal reporting structure.
You can also indicate whether the Organisation can be used for a reference check.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Alert Text
Enter text of importance for the Organisation. This field can be used to inform internal personnel about any specifics, such as Service Related Detail or general Take Note comments. The alert text displays each time you access the Organisation or create a related Record.
Payment Method
Select the method of Payment from the dropdown list to indicate the method used by this organisation. The list of available values are pre-defined and shipped with Greentree CRM. The value selected serves as an information only field so that you know which method is preferred and you can invoice.
- Account Customer - Account is set-up in Greentree Financials. Standard Invoicing will be performed.
- Cash Only/Prepaid - Cash only basis or prepay for services/products, you will probably have special pricing arrangements with these Customers.
- Credit Card Customer - Services/products are provided on Credit, increased prices will most probably apply.
Stop Credit
This box is selected if a Customer is put on Stop Credit in Accounts Receivable.
Credit Alert Text
Enter Credit related Alert text. This field can be used to inform internal personnel on the Customers Credit status, such as Outstanding Invoices, do not deliver service. See Finance Dept.
Reseller
Select a Reseller from the dropdown list. The list of Resellers consists of all the Organisations that have been defined with the Relationship of Reseller. A number of options exist in Customer Relationship Management Module Control, Main tab, that relates to Reassigning a Reseller on the Org. You can auto update Open/Closed Calls/Service Requests for the Organisation.
Territory
Sales areas are referred to as Territories. Select the Territory from the dropdown list. The values in the dropdown list are maintained through CRM > System > Utilities > Maintain Lookups, select Territory from the list of Lookup Fields.
Sales person
This field represents the Sales person that is assigned to the Organisation. Select the Sales person from the dropdown list. The list of Sales people contains the Sales people defined in Accounts Receivable/CRM. If the Organisation is of Relationship Type Customer, then the Accounts Receivable Sales Person is linked to the Organisation Sales Person as follows:
- Accounts Receivable Sales Person updates the Organisation Sales Person when the Organisation is linked to the AR.
- The Organisation Sales Person is automatically updated if the Sales Person is maintained in Accounts Receivable.
- The Accounts Receivable Sales Person is auto updated if the Sales Person is maintained against the Organisation.
Sales Team
The Sales Team represents a group of people who are assigned to the Organisation. The teams are defined in CRM > Relationships > Teams and consist of the CRM users assigned to the Team. Select the Sales Team from the dropdown list. The list of Sales Teams contains all the teams defined in CRM.
Sales Manager
Select the Sales Manager assigned to this Organisation from the dropdown list. The values in the dropdown list are maintained through CRM > System > Utilities > Maintain Lookups, select Sales Manager from the list of Lookup Fields.
Currency
Use this field to set the Organisations currency. This field is read only when the Organisation is linked to a Customer and/or a Supplier, or transactions exist for the Organisation or associated Customer/Supplier. The currency of the linked Organisation/Customer/Supplier must be the same. Where the Organisation is linked to a:
- Customer, the currency is taken from the customer
- Supplier, the currency is taken from the supplier
- Customer and Supplier, the currency is taken from the customer.
Importance
This field gives an indication of the quality of service required for the Organisation. Select the level of importance for the Customer from the dropdown list. The values contained in the dropdown list are maintained through CRM > System > Utilities > Maintain Lookups, select Organisation Importance from the list of Lookup Fields.
Source
Indicates the origin of your company's relationship with the selected Organisation. Select the Source from the dropdown list. The values contained in the dropdown list are maintained through CRM > System > Utilities > Maintain Lookups, select Organisation Source from the list of Lookup Fields.
Classification
Select the Classification from the dropdown list. The values contained in the dropdown list are maintained through CRM > System > Utilities > Maintain Lookups, select Organisation Classification from the list of Lookup Fields. The classification field enables you to group Organisations into meaningful categories, specific to your business. This additional group can be used very effectively when performing queries on the database or running reports.
Invoice Reseller
Select this option to Invoice the Reseller instead of the Customer.
If selected, Invoices generated from Quotes are addressed to the Reseller selected on the Internal tab, Organisation Maintenance. In this instance, the Reseller must be linked to an AR Customer.
If not selected, Invoices generated from Quotes are addressed to the AR Customer that the Organisation is linked to.
This option uses the Default Invoice Reseller on Organisation setting in Module Control, Sales tab.
The reseller currency must be the same as the Organisation currency.
Exclude from Mailing Lists
A Mailing List is a list of Contacts to be addressed using mail. Select this option if the Organisation has requested to be excluded from Mailing Lists. If selected on the Organisation level, the exclude from Mailing Lists checkbox will also be selected for Contacts linked to the Organisation.
Exclude from Call Rosters
A Call Roster consists of a list of Contacts. Select this checkbox if the Organisation requested to be excluded from Call Rosters. If selected on the Organisation level, the exclude from Call Rosters checkbox will also be selected for Contacts linked to the Organisation.
PO Required for Service & Support
Select if a Customer Purchase Order is required on Support Calls/Service Request. If selected, the Customer PO Number on the Additional tab of the Support Call/Service Request form will be compulsory.
Reference Check Available
This field indicates whether or not the Organisation can be used as a reference by existing/prospective Customers. If selected, reference calls can be made to obtain any detail on your services, such as knowledge of product or level of satisfaction.
Reference Check Contact
Use this field to indicate which person at the currently selected Organisation, is responsible for taking Reference Calls. If Reference Check Available is selected, you can select a contact connected to the Organisation from the dropdown list. This list of Contacts contains all the Contacts linked to the Organisation record.
Reference Check Comment
Use this field to add general Comments concerning Reference Calls, for example Only Mondays, between 9:00 and 10:00.
Customer Since
The Date is based on System date (current date) when the Organisation Relationship updates to Type Customer. You can enter the date that the Organisation became a Customer.
