Information Tab - CRM Contacts


Use this tab to capture the contact's personal information, such as Gender, Occupation and Interests. You can also specify a Salutation for the Contact.

You can select option to indicate that the Contact wants to be excluded from Mailing Lists and/or Call Rosters. If these options are selected against the Organisation, then these values default for the Contact.

If the Contact if not of Relationship type Customer, then You can enter Credit Card details to be used. Multiple Credit Cards can be entered. If one of these are indicated as the Primary Credit Card, then the Primary Card defaults when the Contact is selected (for example, Quote entry). If the Contact is of type Customer, this text displays: Credit Cards - see Customer.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Title

Select the Title for the Contact. The list of available Titles are maintained in CRM System Settings, Maintain Lookups. Select Contact Title from the list of Lookup fields. If the Salutation is selected to be Formal, the Title is used together with the Contact name and displayed in the Salutation field.

Salutation

The Salutation displays how the Contact should be addressed. It is also used during automatically create of letters and mail merge. You have these options:

  • Formal - The Salutation consists of the Title, followed by the second word in Full Name - for example, Mr. Smith.
  • Casual - The Salutation consists of the first word in Full Name only — for example, Bob.
  • Other - You can update the Salutation. This is useful for dealing with hyphenated names or names that do not conform to a standard format.

Gender

Indicate whether the Contact is a Male or a Female.

Date of Birth

Enter the Contacts date of Birth. Date of Birth must have a four-digit year.

Age

Is computed from the contacts Date of Birth.

Occupation

Select the Occupation for the Contact. The list of available Occupations are maintained in CRM System Settings, Maintain Lookups. Select Contact Interest from the list of Lookup fields. There is also the additional option to enter text regarding the occupation in the field located next to the Occupation. You can enter up to 30 alphanumeric characters.

Occupation Text

You have the additional option to enter text about the occupation in this field. This may serve the purpose of further defining the role that the Contact serves. You can enter up to 30 alphanumeric characters.

Interests

Select the Interests for the Contact. The list of available Interests are maintained in CRM System Settings, Maintain Lookups. Select Contact Interest from the list of Lookup fields. You can select numerous Interests from the list.

The selected Interests display in the field below the dropdown. You can also enter other Interests not contained in the dropdown list in this field. You can enter up to 80 alphanumeric characters.

You can select numerous Interests from the dropdown list. The selected Interests display in this field. You can also enter other Interests, not contained in the dropdown list, directly in this field. This field can contain up to 80 alphanumeric characters.

Exclude from mailing lists

A Mailing List is a list of Contacts to be addressed using mail, created for a specific purpose such as Update of Product. If Exclude from mailings lists is selected for this specific Organisation (on the Organisation Maintenance form), this checkbox defaults to being selected.

You cannot deselect it. If this checkbox is not selected on the Organisation level, you can indicate whether this specific contact is included or excluded during List generation. If selected, the Contact will not be included in the mailing list.

Exclude from call rosters

A Call Roster consists of a list of Contacts and schedule of intended Calls. If Exclude from call rosters is selected for this specific Organisation (on the Organisation Maintenance form), this checkbox defaults to being selected. You will not be allowed to deselect it.

If this checkbox is not selected on the Organisation level, you have the option to indicate whether this specific contact is included or excluded during List generation. If selected, the Contact will not be included in call rosters.

Credit Cards table

If the Contact is of type Customer, then the Credit Cards table is not available. This text displays instead: Credit Cards - see Customer.

This table enables you to enter multiple Credit Cards for the Contact. Select the Primary option (P) to indicate which Credit Card should be used as the default during for example Quote entry.
