Autoscan
If the Autoscan module is licensed and enabled for the company, you can access the Autoscan tab on Workflow > Module Control.
If the Autoscan settings are configured for both user preferences and Workflow Module Control, the user reference settings change the Workflow Module Control settings.
Enter the Greentree record types to prompt for barcode details on the Autoscan tab. These are used in:
- The Data Import Manager module for the attachment import, to identify the record that the attachment belongs to.
- The Autoscan
module to perform bulk imports of source documents, store these documents
electronically and have them cross-linked to the Greentree record
they belong to.
Attachments in Greentree, to determine the availability and nature of the Barcode field.
In certain circumstances, you can't generate a barcode for
a new record because the new records are created in bulk. For
example, when generating picking slips from sales orders,
the new picking slip records are created in the background. You
can include a special method in a standard report, such as a picking
slip.
This reporting method checks if a barcode exists for the record type, if one is found, it uses that barcode. But if one is not found, a new barcode is generated for that record. This is not designed to print product barcodes for picking, but to generate a unique barcode for the entire delivery, so a proof of delivery can be scanned into Greentree after signing. |
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Autoscan Table
Select the record types for which you want to maintain the autoscan option. Record Type Desc displays after you select Record Type.
These options are available:
- None - The Barcode feature is not available for the record type.
- Optional Input Barcode - The Barcode feature is turned on for the record type. This means that a barcode attachment can be created when a new record is created in Greentree. The barcode can be entered, scanned using your own barcode scanner or automatically generated through using Workflow Auto Codes.
- Compulsory Input Barcode - The Barcode feature is turned on for the record type and must be entered/generated when a new record is created.
- Print Barcode via Report Writer
- This option generates a new barcode using the next sequential bar
code number in the Autocodes
setting for an attachment barcode in CRM
> System > Setup. The barcode is generated when the user
saves a new record.
During the save process Greentree calls the report writer to print that new barcode. You must select one of the soft coded Report Writer Barcode reports from the Barcode Report dropdown list. The dropdown gives access to all report writer reports of module membership CRMAS. You can add new reports using the standard report writer function.
Note: The Report Writer Barcode Reports provided with Greentree use a free barcode font FREE3OF9.TTF, found in the \GT Documents directory. You must install this font on each workstation from which you want to print barcodes. If you want to use any other barcode font, then you must source it, update the report and load the new barcode font on all the machines from which the report will be used.
- Custom Print Barcode -
This option calls an empty programming stub designed for custom program
code that can use specialised hardware such as bar code printers with
built in barcode fonts. It does not perform any function until a programmer
has coded your own custom printing routine. The barcode is still generated
during the save record process and is stored on an attachment record
available for the custom program to use in it's printing process.
