Email - Attachments
You can add attachments added throughout CRM. By default, attachments are compressed and stored within the JADE database. Use this tab to indicate that attachments must be stored outside of the database. External attachments are saved on a hard drive or network drive, with a pointer from the JADE database to the file.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Attachments
Select Save Attachments Externally and indicate the external location to which you want to save the attachments.
If you're running Greentree in Fat Client mode, you can navigate to the external location. If you're accessing Greentree in Thin Client mode, enter the location.
No of Subfolders
If you want to save the attachment in a separate subfolder each, enter the maximum number of subfolders allowed. Once all subfolders have been used, the remainder of the attachments are saved to the last subfolder.
For example, if five subfolders are allowed, the first attachment is saved in subfolder 001, then 002, and the like, until 005 is created.
Never Delete Source
Select if the original file selected as an attachment, should remain. If selected, a copy of the source file will be attached within CRM. The source file remains unchanged.
Always Delete Source
Select if the original file used as attachment must be deleted. If selected, CRM will contain the only version of the source file.
Warn Before Delete
Select if you require a prompt to display, confirming the delete of the source file. If selected, a warning message displays. The warning message requests confirmation to delete and list the source file name.
Email Program
Select the email program you want to use:
- Internal Email - Email is sent through the Greentree Email function, set up in System > Utilities > General System Preferences. You can use an email template, which automatically updates the email canvas which contains the detail of the email to be sent. Once the email is sent, the Conversation tab on the Communication form is automatically updated with the email body. Emails sent using the Greentree Email function do not appear in your email program's sent items.
- MSOutlook2000 - Email is sent using Microsoft Outlook. You can use an Email Template, which automatically updates to Outlook, from which the email is sent. The email body is not saved to the Conversation tab on the Communication form. Emails sent through Outlook are available to view in your sent items.
- Microsoft2000 with Save - Email is sent using Microsoft Outlook. You can use an email template, which automatically updates the email canvas. The canvas contains the detail of the email which you can edit. The canvas fills the Outlook email to be sent. Once the email is sent, the Conversation tab on the Communication form is automatically updated with the email body as contained on the canvas. Updates to the email body in Outlook are not saved. Emails sent through Outlook are available to view in your sent items.
Contact Name in Email Address
Select this option if you want only the contact's email address to be displayed in the email's list of addresses. If not selected, the contact's name and email address displays.
