All the detail about the Follow-up is captured on this tab. This includes the user to whom the follow-up is assigned, the Contact detail of the Contact person, type of follow-up, applicable dates, status and general text concerning the follow-up is captured. You also have the opportunity to set a reminder for the Follow-up.

Options Reference

Each option and field on the form is described below. Mandatory options and fields are highlighted in red.

Number

Enter a unique number. This field is alphanumeric. You can set the Numbers to be generated by Greentree Desktop.

Subject

Enter the Subject of the Follow-up or any Descriptive text, which will enable you to identify the Follow-up. You can enter up to 80 alphanumeric characters.

View

This field determines which records you have access to. The default view is set in CRM > System > Module Control. You can modify your view (depending on your security level) by selecting one of these options:

  • All: All records are available, no limitation based on the owner of the record.
  • Mine: Only the records that are assigned to you are available.
  • Team: Only the records that are assigned to your team(s) are available.

Note: The View field respects the security settings defined in User Preferences. Logging in as super gives you access to all records.

Organisation

Select the Organisation for the item from the list of Organisations. All organisations contained in the CRM database display in the list of options.

The Phone and Mobile fields default using the Organisation selected.

Contact

Select the Contact from the dropdown list, which contains all the Contacts registered against the selected Organisation. If you did not select an Organisation, the dropdown displays all Contacts in the Customer Relationship Management module and the Organisation field will automatically fill when a Contact is selected.

Assigned User

This field defaults to the user currently logged-in. You can update this field by selecting the person assigned to keep the Follow-up, from the dropdown list. This list displays all the CRM Users defined in Greentree Financials.

Status

This field defaults to the Default Follow-up Status selected on the Module Maintenance form. You can update this field by selecting the Follow-up Status from the dropdown list.

The Module Control > Sales tab contains a Default Completed Follow-up Status field. If a status is selected, then the Follow-up Status field defaults to the selected status when the completed option is selected.

Type

Follow-ups are available in various CRM modules. Type is used to indicate the Customer Relationship Management module that the Follow-up belongs to. Type uses the CRM module:

  • Relationships - Defaults to General
  • Sales and Marketing - Defaults to Sales
  • Debt Collection - Defaults to Collection
  • Events Management - Defaults to Event
  • Service and Support - Defaults to Service
  • Fund Raising - Defaults to Fund Raising

This field is display only once the new Follow-up is saved.

Phone

This field defaults to the Business Phone number of the Organisation when the Organisation is selected. If a Contact is selected and a Business Phone number exists for the Contact, then the Contact phone number displays.

Mobile

This field defaults to the Mobile number of the Organisation when the Organisation is selected. If a Contact is selected and a Mobile number exists for the Contact, then the Contact's Mobile number displays.

Due Date

The Due date represents the date on which you must complete the Follow-up. This date defaults to current date. You can update this field.

Reminder

Select this option if you want a Reminder to be displayed for the Follow-up. If selected, the date of the Reminder defaults to Current Date. You can update this field to represent the date on which you want the Reminder to be displayed. When you select the Reminder field, the time of the Reminder defaults to 8:00 AM.

You can update this field to represent the time that you want the Reminder to be displayed. Either select an entry from the drop down list, or enter a new time. The Reminder option uses Greentree CRM's own Reminder Engine, ensuring that you are pro-actively advised.

Completed

Select this option if the Follow-up is Completed. If selected, the Complete date defaults to Current Date. You can update this field to represent the date of Completion.

Module Control > Sales tab contains a Default Completed Follow-up Status field. If a status is selected, then the Follow-up Status field defaults to the selected status when the completed option is selected.

Private Access

Private Access defaults to selected. If selected, the private checkbox restricts the view of this Follow-up in eCRM to only the Organisation that it belongs to.

Web Accessible

Web Accessible defaults to selected. If selected, the Follow-up is available for use in eCRM.

Published

This field is automatically updated. If selected, it means that the Follow-up is published to Outlook. This field is display only.

References

Select the item related to the Follow-up from the dropdown list. Input fields display according to the item selected.

  • N/A - No related items. This is the default value.
  • Leads - The Follow-up is in connection to a Lead. Select the Lead from the Number or Summary search fields provided. This list displays all the existing Leads.
  • Quote - The Follow-up is in connection to a Quote. Select the Quote from the Number or Description search fields provided. You can perform this by selecting either the Number or the Description field.
  • Communication - The Follow-up relates to a Communication. Select the Communication from the Number or Details search fields provided. You can perform this by selecting either the Number or the Details field.
  • Service Request - The Follow-up relates to a Service Request. Select the Service Request from the Number, Cross-Reference or Summary search fields provided.
  • Campaign/Booking - The Follow-up relates to a Sales Campaign or a Booking. Select the applicable Campaign/ Booking from the Number, Alpha or Name search fields provided.

Detail

Enter the detail of the Task to be performed.
