File Against Tab
The File Against tab displays the record/records the email is filed against. If the Email has not been filed yet, you can file it from this form by selecting the CC, From, To field or selecting another record.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Done
This field is selected if the item selected in the File Against Table is filed.
Ignore
Select the Ignore option if you do not want to file the Email against the highlighted item in the File Against table. For example, you only want to file an email against a quote. Therefore you select the Ignore option for all the default items in the File Against table.
You select the File against other records button and file the Email against the Quote. Greentree will then set the Completed indicator for the Email as there are no default options left to file the Email against.
Find 1
Find 1 displays the Code of the record that you filed the email against. For example, if you filed the Email against a quote this field displays the Quote Code.
Find 2
Find 2 displays the Summary of the record that you filed the email against.
Context
This field displays the context of the record that the email is filed against, for the selected row in the File Against table. For example: CC/FROM/To person or OTHER if the Email is filed against another record using the File against Other record button.
Linked To
This field lists the record that the Email is filed against, for the selected row in the File Against table.
File Against Table
This table lists all the default items that the Email can be filed against, and all the items that the Email is filed against. The table consists of a number of fields:
- The Done option is selected if the Email is filed against the specific item in the table.
- You must select the Ignore option if you do not want to file the Email against the specific item in the table.
- The Context field lists the items that the Email can be filed against or is filed against. You can file an item against another record, by clicking the File against other records button. Follow the steps displayed on the File Email Against Record dialog to complete filing.
- Find 1 displays the Code of the record that the Email is filed against.
- Find 2 displays the Summary of the record that the Email is filed against.
- The Linked To field lists the specific record that the Email is filed against.
- The Unassigned Reason field contains text if the Email could not be filed against the specific item in the table.
- You can unfile an item by selecting it in the table, then clicking the Remove Link button.
Remove Link
Click this button to unfile an email. You must select the record in the table from which you want to unfile the email. Once the table row is highlighted you must click this button. The attachment against the selected record is permanently removed.
File against other records
This button is used to file the Email against a record that is not listed in the File Against table. Click this button to open the File Email Against Record dialog. The summary of the Email displays and you are requested to open the item that you want to file the Email against. Open the form and select a record. Then click OK to file the Email. The File against Table updates to display the Other record that the Email is filed against.
Remove Link
Click this button to unfile an email. You must select the record in the table from which you want to unfile the email. Once the table row is highlighted you must click this button. The attachment against the selected record is permanently removed.
File against other records
This button is used to file the Email against a record that is not listed in the File Against table. Click this button to open the File Email Against Record dialog. The summary of the Email displays and you are requested to open the item that you want to file the Email against.
Open the form and select a record. Then click OK to file the Email. The File against Table updates to display the Other record that the Email is filed against.
