Payroll Tab
This tab is only enabled if the Allow Payroll transactions option on the eTimesheets Module Control > General tab is selected. The settings on this tab give you the ability to update HR pay entry from eTimesheets, along with job costing. To use this feature you must setup the Module Control settings on this tab, and:
- Ensure the pay transaction types have been enabled for eTimesheet entry through Pay Transaction Type Maintenance in the HR module.
- eTimesheets Employee Setup: In the eTimesheet employee setup you must ensure that the Transfer hours to Payroll option is selected and the payroll transaction types are available for use for each employee.
The Module Control settings on this tab is also available on the eTimesheet Employee Configuration > Payroll tab, in display only mode.
Options Reference
Each option and field on the form is described below. Mandatory options and fields are highlighted in red.
Process all Transactions to Payroll
If you select this option, then Greentree ignores all validations and sets all the lines for Payroll use.
If you don't select this option, then Greentree validates if the transaction type exists, is active and allowed to use for eTimesheets. If not, an error displays. If transaction type is empty but compulsory, then an error displays. If Payroll Classification is empty but compulsory, then an error displays.
Display Transaction Type
If you select this option, the user in eTimeSheets will see the payroll transaction type field on their input, if it is deselected then the field will be hidden. Note that if the payroll transaction type is set to be compulsory, and this option is deselected, then the only way you can save any line in eTimeSheets is if the Job/activity/Work centre mapping to payroll transaction type has been configured.
Transaction Type search is automatic
When you select this option, when the user clicks the search icon in eTimeSheets, the form will be populated with the first 20 payroll transaction type. You don't need to click the Search button. It is useful when there are a low number of payroll transaction types for the user to choose from, typically less than 40, so there is at least a 50% chance the code they want is already displayed.
Transaction Type is compulsory
When selected, a valid payroll transaction type must be selected for each timesheet line.
Notes:
- You do not need to select the code if the Job/Activity/Work centre mapping to payroll transaction type is configured.
- If the Display transaction type option is not selected and the mapping has not been configured, you cannot add any timesheet lines.
Display Payroll Classification
When you select this option, it displays the payroll classification field in the timesheet input, allowing the user to optionally select a different classification to their default payroll setup on their masterfile. It is useful when the user is doing higher duties and is entitled to more pay.
Payroll Classification is compulsory
When selected, a valid payroll classification must be selected for each timesheet line.
The user does not have to select the code if the Job/Activity/Work centre mapping to payroll classifications is configured. Also note that if the Display classification option is not selected and the mapping has not been configured, then it is impossible to add any timesheet lines.
Default Transaction Type
Select the default Payroll Transaction Type to be used on a new detailed Timesheet line if the user has not selected a transaction type on the Timesheet and a Job Mapping does not exist.
Create Payroll GL lines
If you select this option, the job cost and the payroll will be updated separately. The eTimesheet lines updates the job cost transactions and in the pay entry you can process the eTimesheets line, which will come through as General Ledger lines.
Create Payroll JC lines
If you select this option, the job cost and the payroll will be updated simultaneously using the payroll once the eTimesheets have been processed in the payroll module.
No Job cost lines are directly created by eTimeSheets, all Job cost lines are created only by payroll once the eTimeSheets are processed into payroll.
Do not Create Payroll Lines
No payroll transactions are created. Job cost transactions are still created when timesheets are approved. This option is used when the raw payroll data is to be collected at timesheet input, but not used for payroll, instead being printed out for manual payroll updating.
Process eTimesheets using Timecards
eTimeSheets can be processed to the pay packets using the Timecards payroll module when this option is selected. This option can be selected from either this form or the Human Resources Module Control, it is the same option accessed from both forms.
