User Defined Fields


Use these fields to capture specific information against masterfiles, where you want to hold information that is over and above what can be captured in the Greentree maintenance forms. You can categorise and analyse masterfiles using the values assigned to user-defined fields.

You can use Greentree Desktop's Inspection Tool and JADE Query to view and extract masterfile data based on user-defined field values.

You can use these fields for:

  • Recording inventory item attributes, for example, colour, length, width
  • Maintaining creation dates for masterfiles
  • Recording the geographical location of customers and/or suppliers

You can define an unlimited number of fields to capture different types of information. There are five field types available, so that you can define a type that relates specifically to the information you want to capture. Valid field types are:

  • Date - allows entry of a date in Greentree format
  • Boolean - allows assignment of Yes or No
  • Integer - allows entry of a whole number only
  • String - allows entry of an alphanumeric string
  • Decimal - allows entry of a number with specified decimal places

User-defined fields are set up by module, using the User defined fields form applicable to the module, accessible from the System menu.

To enter a new field, click the Add button. This creates a line in the table, with the name New field. Move the cursor to the Name field, and replace New field with the name of the field you are creating - this can be up to 30 characters long.

Select one of the five field types from a dropdown list in the Type field. The remaining columns (Length and Decimals) are only applicable if a String or Decimal type is selected.

The Length defines the maximum number of characters you can enter when assigning the Business Type to a customer. The Decimals defines the maximum number of decimal places that can be entered in the Decimals field when assigning that decimal value to a customer.

Click Done to save the fields you have defined, or click Delete while positioned on the line you want to delete.

Once user-defined fields have been created using this form, the fields displays in the Custom tab within the relevant masterfile maintenance form, and the user can assign values for each field.

Information You don't need to assign a value to user-defined fields.
