Select Order
You can create an invoice from a purchase order with the Select Order feature if you're using the Purchase Order module.
When the invoice transaction is saved, the updates for receiving selected purchase order lines are also processed. This creates two GL journal batches: one for the receipt, and one for the invoice.
Exception
When the advanced invoicing feature is in use, order lines are invoiced but no inventory transaction (receipt) is processed. The form only displays purchase orders that have not yet been received or placed in a shipment.
Unselected Orders Table
This table displays all purchase orders of the selected supplier that have at least one line with an unreceived quantity.
To select an order to invoice, highlight the order reference in this table. Then, click the Select >> button to move it into the Selected orders table. This assumes all lines within the selected order is included in the invoice. Click << Deselect to transfer a selected order back into the deselected table.

If you only want to select specific lines within an order to invoice, highlight the order reference in the deselected orders table. Line detail of the order updates to the table at the base of the form. You can then click the Select box beside the lines you want to include for invoicing. |
Selected Orders Table
This table displays all the orders you have selected for invoicing.
You can use
<< Deselect
or Deselect all to move orders
back into the Unselected orders
table.

When you position to an order within the selected table, the order line detail displays in the table at the base of the form. You can click the Select box to select or deselect specific lines within the order to include for invoicing. |
Order lines that have been selected to invoice will populate the Line Items form, where you can review or edit the invoiced quantity and other line detail before saving the transaction. You can also delete lines from the table by pressing Shift+F2. If only part of an order or part of a line quantity is invoiced, the order is still available using the Select Order form for future invoicing until all line quantities are fully invoiced.
These functions also apply if the SO-PO Linking module is in use, and selected orders are linked to sales orders:
- If the invoice line item is linked to a backordered sales order line, and the Commit inventory only option in PO Preferences is selected, the same process used in the SO Release Backorder form is applied to commit the backordered quantity to the line, without generating a packing slip.
- If the PO Preferences option Commit inventory only is not selected, the receiving function for linked PO-SO items applies
- Regardless of whether or not a packing slip is generated for linked lines, if serial/lot numbers or dimensions have been entered for the invoiced quantity, they are transferred to the linked sales order line.
- If the PO Preferences option Commit inventory only is true, the SO PO Link Release Report displays released backorders for each listed purchase order.
