Use Price and Availability to access inventory data including pricing and availability.

Access to the form must also be assigned to the User / Team via Price & Availability Screen Designer / Permissions and Settings.
Asterisk Menu
The following settings determine access given to the asterisk menu option to Add to Sales Quote and/or Add to Service Quote:
- User Preferences access to CRM Sales and/or CRM Service & Support
- CRM User Preferences / Privileges / Add my Own Records / Quotes
- CRM User Preferences / Privileges / Change All Records and/or Change Team Records / Quote
- Both INVENTORY ITEM and Customer is selected on the Price & Availability form.
INVENTORY ITEM
A droplist showing item Code and Description.
To view:
- select INVENTORY ITEM
- enter the inventory item code, barcode or alias name
- [TAB] or [ENTER] off the field.
To search:
- select INVENTORY ITEM
- enter a partial code, description, barcode or alias name
- Enterprise search will automatically activate
- [TAB] or [ENTER] off the search result to view.
Asterisk menu
Visible dependent on user access settings.
Both
INVENTORY ITEM and Customer must be selected for
this option to become visible.
On selection of Add to Sales quote or Add to Service quote:
- the Price & Availability form remains open
- if an editable quote is open for the same customer / organisation, the item is added as an IN line item to the first available line in the grid, otherwise
- a new Quote is opened with the customer / organisation populated, and the item is added as an IN line item to the first line in the grid.
- focus moves to the next blank line on the quote form.
Where multiple quotes are open for the same customer / organisation, the error message Multiple active quotes are open for this customer displays, and the line is not added.
Where the active quote is not the primary quote, a warning message Quote (number) is not the primary quote displays and the option to Add line to this quote? is given.
On selecting:
- Yes, the line is added to the active quote
- No, cancels the request to Add to quote.
IN Line entry values that default from Price & Availability are:
- INVENTORY ITEM
- Quantity
- Unit
- Location
- Tax Code and percentage
- Tax Type
- Price book (defaults to the customer price book)
- Unit price
- Discount.
Unit price
Displays on selection of an inventory item.
The value returned is for one item based on the default price book set in Inventory Module Control, and Unit, Currency, Location, Tax type defaults on the form. Where date range pricing is in use, the value may also be based on Date.
On selection of a customer, the Unit price will update using these price book hierarchy:
- IN Advanced Price Maintenance / Customer(xxxx)/Stock Item(xxxx) combination
- Customer Maintenance / Integration / Price book
- IN Module Control / Defaults / Price Book
- IN Module Control / Main / Costing Method cost price.
Price
Description
The description for the selected inventory item.
Customer
Can be left blank.
To select:
- select Customer
- enter the customer code
- [TAB] or [ENTER] off the field
To search:
- select Customer
- enter a partial name, address, phone or mobile number.
- Enterprise search will automatically activate
- [TAB] or [ENTER] off the search result to view.
Selecting the field title provides the option of choosing which fields are included in the search. By default All is selected.
Quantity
Defaults to 1. May not be less than 1.
Works in conjunction with any quantity break pricing rules set against the inventory item.
Used to calculate the Total of the item being queried.
Unit
Defaults from the inventory item selling unit of measure (UOM).
To change the default:
- select Unit
- clear the default code
- enter a new code or select one from the droplist.
- [TAB] or [ENTER] off the field.
Currency
Defaults using these hierarchy:
- customer currency code
- company currency code.
Once a customer has been selected this becomes read only.
Date
Defaults to today's date.
May be changed by using the calendar date picker.
Location
Visible when Use Locations is selected in Inventory Module Control. Defaults from IN Module Control / Options.
To change the default:
- select Location
- clear the default code
- enter a new code or select one from the droplist
- [TAB] or [ENTER] off the field
Tax code
Defaults using these hierarchy:
- customer delivery address (applicable where North American sales tax is in use)
- customer
- Selling Price Maintenance - standard selling price
- price book
- inventory item
- inventory transaction type
- company.
To change the default
- select Tax Code
- clear the default
- select an option from the droplist.
- [TAB] or [ENTER] off the field
Tax Type
Defaults from Inventory Module Control.
Determines whether the price is displayed inclusive or exclusive of tax.
To change the default:
- select Tax type
- clear the default
- [TAB] or [ENTER] off the field
Total block
Discount (%)
Defaults using these hierarchy:
- Inventory item discount from:
- quantity break
- customer/item advanced price.
- customer's invoice discount.
Subtotal
Unit price exclusive of tax and discount, multiplied by quantity.
Tax
The total tax portion of the query.
Total (Currency)
Subtotal less Discount plus Tax.
Price Books & Quantity Breaks
Displays the standard price for each price book.
The first price book displayed is based on these hierarchy:
- Customer Maintenance / Integration / Price book
- IN Module Control / Default / Price book.
Where quantity breaks exist select beside
the price book name to view.
Availability
Summary
Values are defaulted from Inventory Item Maintenance / Main / On-hand quantities.
Location Detail
Displays the quantity available by location.
Visible when Use Locations is selected in IN Module Control / Options.
Product
Product is only visible for Inventory (IN) line items. Selecting an existing IN linewill bring this tab into view.
Images
Where a picture of the inventory item exists, this will display.
Use or keyboard left/right arrow to scroll for multiple
pictures.
For an image
to display, this must be attached to the Inventory Item as Attachment
Type = Image.
Product Detail
Descriptive text relating to the Inventory Item displays beside the image. This includes:
- Inventory Item text
- Weight/Volume
- Colour
- Dimensions (only available if Warehouse Bin Management is in use).
Product Grid
Displays On Hand, Available and On Order quantities by Location for the selected inventory line.
Related Inventory
Displays the companion and/or substitute items associated to the inventory item.
On selecting a line, the Product detail and location balances for the inventory item display above the grid.
Select
to collapse or
to open the product detail section.
Selecting
beside any line will bring up the Asterisk menu giving the option to Open
in this screen or Open in new screen.
