Auto Create Job from Service Request/Call

Job Creation

Availability:

Available for service requests/calls where the organisation Relationship = customer.

Is dependent on these access settings:

  • User Preferences / Menu security / Job Maintenance
  • CRM User Preferences /Privileges for Add My Own Records
  • CRM > System > Module Control / Service /Auto create job from Service Request.

Hierarchy for Job Creation

Before creating a new job, the system will check these hierarchy for an existing job number:

  • Where a Contract is assigned to the service request, CRM > Contracts > Contract Maintenance / Main / Job
  • Where a Primary Asset is assigned to the service request, CRM > Asset Management > Physical Assets / Main / Job
  • CRM > Organisation Maintenance / Security / Default Job for Service Request.

If no existing job number is found, on save of a new service request/call:

  • the system looks for a valid job template
  • a job is automatically created
  • default fields are populated to the job
  • the job is automatically saved
  • the job is linked to the service request
  • the job number is displayed in service request Job field on the Overview tab.

Job Template Creation

Job templates are created in Data Entry > Job Cost > Template Maintenance.
Job template selection

The hierarchy for job template selection is:

  • CRM > System > Utilities > Location Maintenance / Service / Def.Template for Job for the location assigned to the service request/call.
  • CRM > System >Module Control / Service / Def.Template for Job.

Where no template exists, or mandatory field detail is missing, an error message is displayed and the job will not be created.

The option to save the service request/call is provided.


Job Default Fields

These fields default during job creation:

  • Code (mandatory) - Where CRM > System > Module Control / Service / Create Job Number from S/R Number is selected the service request/call number is defaulted. Otherwise is auto generated from the Job template.
  • Name - Service request/Call summary detail.
  • Date (mandatory)  - current date.
  • Customer (mandatory) - Service request/Call organisations customer.
  • Calendar (mandatory) - System > Job Cost > Module Control / Defaults / Calendar.

These fields default from the Job template:

  • Profit Centre (mandatory)
  • Value
  • Delivery address
  • Site contact
  • Status (mandatory)
  • Job manager (mandatory)
  • Account manager
  • Type (mandatory) 
  • Price book (mandatory)
  • Charge type (mandatory)
  • Claim schedule (mandatory). Required where Charge type is schedule based.
  • Plant activity. Optional where Charge type is Plant.
  • Activity group (mandatory). Required if Job template Use work centre plan is deselected.
