Leave Request


You can add, edit, cancel, or view leave requests in Greentree Desktop under HR > Leave Planning > Leave Request Entry or in Greentree Browser via Create/Enquire > HR & Payroll > Leave Planning > Leave Requests.

Security

These settings determine the level of access given to the Leave Request form:

Module:

Company Maintenance / Modules in Use / HR Leave Planning

Form:

User Preferences:

  • Access / Suite / Browser Client / Module Suite / Human Resources; OR
  • Access / Suite / Mobile / HR.

AND

User Preferences:

  • Menu security / HR / Leave Planning / Leave Request Entry

Record:

The HR Leave Request records and actions available, are determined by the HR User Preferences / Privileges settings

Read:

  • Read All Records and/or Read Team Records / Leave Request

Add:

  • Add my own records / Leave Request

This setting relates to permission to add leave requests on behalf of HR Employees that you have access to.

Edit:

  • Change All Records and/or Change Team Records / Leave Request

Delete:

  • Delete All Records and/or Delete Team Records / Leave Request

By default, you will always be able to view, change, delete and add your own leave requests.


Field Reference

NUMBER

A droplist showing the Request, Name, From, To and Type.

New Leave Request

If Auto Codes are:

  • Selected - on Save, the leave request number is created by the system
  • Deselected – in NUMBER enter a unique alphanumeric reference with a maximum of 12 characters.

Existing Leave requests

To select an existing leave request:

  • select NUMBER
  • enter the leave request number
  • [TAB] or [ENTER] off the field.

EMPLOYEE

Where security access is limited to one employee, EMPLOYEE defaults and the field is read only.

Where access to multiple employees is permitted, a droplist showing the employee Surname, First Name and Code .

To search:

  • select EMPLOYEE
  • enter a partial employee surname or first name
  • Enterprise search will automatically activate
  • [TAB] or [ENTER] off the search result to view.

Selecting the field title provides the option of choosing which fields are included in the search. By default All is selected.

Additional search fields can be added via System > System Setup > Class Maintenance / HRTSEmployee.

Type

Defaults from HR Module Control / Leave Planning / Default Leave Type.

F9 or to select from a list of leave options.

Transaction types that have Available for Leave Planning selected on HR > System > Leave Planning > Transaction Type Pay / Configuration, are visible for selection. If the Transaction type is balance tracked,the transaction type must be assigned on the HR Employee Maintenance / Balance Tracking tab to be visible.

All day

Where selected, this indicates that the leave request has been scheduled to last the entire working day for the selected date range, and the From / To time fields are hidden.

From

The date and time the leave period begins.

May be selected from the droplist or manually entered.

Example of valid time entries:

1a = 01:00 AM

1p = 01:00 PM

1:15a = 01:15 AM

1:15p = 01:15 PM

Separate hours from minutes with a colon. A full stop, space or semi-colon are all invalid.

If All day is selected, the time field is hidden.

To

The date and time the leave period ends.

May be selected from the droplist or manually entered.

Override

The total hours leave requested for the selected period.

Mandatory if HR Employee Maintenance / Balance Tracking / Use Working Calendar is deselected.

On selection, the Days and Hours Requested are updated, and the available leave Balance recalculated.

Reason

A text field to enter the reason for the leave request.

Cancel reason

A text field to enter the reason for cancelling the leave request.
