Quote Smart Button


Clear

Clears the Quote form ready for a new record to be created/recalled.

Select for other actions.

Save

Becomes the default option once the form is edited.  

On selecting, the active record is saved. The form remains populated.

Select for other actions.

Save & Add New

On selecting, the active quote is saved and the form is cleared apart from these fields:

  • ORGANISATION
  • Salesperson
  • Reseller
  • Invoice reseller

Salesperson, reseller and invoice reseller all default from the organisation.

Save & Email

Available for new quotes yet to be saved.

Both Status and Method are required fields. Where Method is left blank, this field defaults to Email but is editable.

Email

Available for quotes that have already been saved.

Copy

Copy is available for both closed and open quotes. It is not available if the document has not been saved.

On selecting, the warning — A new quote will be created not a quote revision.— is displayed. Selecting OK creates a duplicate quote.

Where automatic numbering is not in use, enter a reference for the quote copy and Save.

Where Prompt to Update Prices on Revision/Copy is selected in CRM Module Control / Sales / Quotes, on selecting to Copy, a message will display giving the option of creating the quote copy with prices that are Updated or left at their Original price. On selecting:

  • Updated, any inventory price change since the original quote was created is updated to the quote copy
  • Original, all prices on the quote copy remain the same as the original quote
  • Cancel, cancels the quote copy and returns you back to the original quote.

Revise

Revise is available for open quotes. It is not available if the document has never been saved.

On selecting, a sequenced version of the active quote is created.

Where the user creates a revision from a quote that is not the primary quote, the warning "Quote nnn.nn is not the primary quote. Do you wish to proceed?" is displayed. Selecting Yes creates the quote revision. This behaves as for a new quote.

A locked quote must be unlocked before it can be revised.

Where Prompt to Update Prices on Revision/Copy is selected in CRM Module Control / Sales / Quotes, on selecting to Revise, a message will display giving the option of creating the revised quote with prices that are Updated or left at their Original price. On selecting:

  • Cancel, cancels the revision and returns you back to the original quote.

Save & Email

Available for new quotes yet to be saved.

On selecting, an email form is displayed, and the message CREATING PDF shown in the header area. You may interact with the rest of the email form as usual while the PDF is being generated. Once the message changes to PDF CREATED, the Send button is activated, and the quote attachment populated. Where a Quote soft coded report is assigned in CRM > System > Module Control / Sales / Quotes, the attachment uses this format.

Email

Email is available for both closed and open quotes. It is not available if the document has never been saved.

Process followed is the same as for Save & Email.

Delete

Delete is available for open quotes.

On selecting, a message is displayed "Are you sure you want to delete this Quote?". Selecting Yes deletes the quote and clears the form ready for a new record to be created/recalled.

Search Now

Used in conjunction with criteria entered on the Sales Quote, Sales Order, Packing Slip, or Invoice tab to return a search result.
